Responsibilities

  • Coordinate facility services including building maintenance and repair, custodial services, delivery services, security systems, HVAC and equipment maintenance
  • Conduct basic maintenance, installations and repairs
  • Develop and maintain the organization's Quality Management System (QMS) aligned with ISO standards and policies
  • Manage facilities requests and ensure timely resolution
  • Coordinate external vendors, contractors and subcontractors ensuring safety compliance
  • Assist planning and coordinating office moves/relocations
  • Maintain accurate inventory of physical assets and recommend capital purchases
  • Ensure compliance with local building codes, standards and lease agreements
  • Evaluate and maintain furniture, shelving, fixtures and supplies
  • Conduct facility safety and security inspections and follow up on observations
  • Support workstation planning and staff placement and onboarding procedures
  • Maintain floor plans and seating maps; coordinate IT-led moves and data cabling

Description

RWDI is seeking a motivated individual with a minimum of 6-10 years of experience to join us as a Facilities Coordinator at our Trivandrum location.

Facilities Coordinator provides high-quality facilities services. Is responsible for physical building related items, shipping as well as the physical safety of the buildings. Internally, the holder of the position will enforce security rules, follow-up on building and facility requests, facilitate negotiation with vendors and contractors, and coordinate any personnel necessary to carry out assigned projects. This role supports the India Office.

Key Responsibilities
  • Coordinating facility services such as building maintenance and repair, custodial services, delivery services, security systems, HVAC and equipment maintenance
  • Conducting basic maintenance, installations, and repairs
  • To develop, implement, maintain, and continuously improve the organization's Quality Management System (QMS), ensuring compliance with ISO standards, regulatory requirements, and company policies while promoting a culture of quality and continuous improvement.
  • Managing facilities requests ensuring timely resolution
  • Managing facilities related external vendors, contractors, and subcontractors and ensure they meet and follow safety policy requirements
  • Working knowledge of health and safety regulations
  • Assist planning and coordinating office moves/relocations
  • Managing an accurate inventory of all physical assets related to the facilities, reports on their condition, and make recommendations for future capital purchases
  • Ensuring compliance with local jurisdictional building codes, standards and lease agreements
  • Evaluating, advising, acquiring installing and maintaining a variety of furniture, shelving, fixtures, equipment, and supplies
  • Conducting facility safety and physical security inspections (fire systems, heating, HVAC) and following up on observations
  • Participating in workstation planning including assessing staff placements, spatial layouts, and on/offboarding procedures
  • Maintaining accurate floor plans and seating maps
  • Working closely with IT to coordinate physical moves of workstations, data cabling, etc.
Skills, Knowledge & Expertise
  • Minimum of a UG degree and relevant work experience
  • Proven experience in a facilities or office coordination role (6-10 years preferred).
  • Strong organizational and problem-solving skills.
  • Excellent communication and interpersonal abilities.
  • Proficient with Microsoft Office and basic facility management tools/software.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Must be able to wear and use appropriate person protective equipment as necessary
