Export Logistics Manager/Senior Executive

About the Role
We are looking for a detail-oriented and proactive Export Logistics Executive to join our international trade team. The incumbent will be responsible for end-to-end management of sea export shipments from pre-shipment documentation and customs clearance through to post-shipment banking formalities. The ideal candidate brings hands-on experience with export documentation, a solid understanding of Letter of Credit (LC) transactions, and the ability to coordinate seamlessly across shipping lines, freight forwarders, CHA agents, and bank teams.
Key Responsibilities
Shipment Planning & Coordination
- Plan and execute FCL / LCL sea export shipments across designated trade lanes.
- Coordinate with freight forwarders, shipping lines, and CHA agents for bookings, container allocation, and vessel scheduling.
- Monitor container movement from stuffing to vessel departure and provide timely updates to stakeholders.
- Handle 50+ TEU / month (volume as applicable to role level).
Export Documentation
- Prepare and verify all pre-shipment documents: Commercial Invoice, Packing List, Shipping Bill, ARE-1 / ARE-3, SDF / GR forms.
- Coordinate with CHA for Shipping Bill filing on ICEGATE; resolve customs queries and amendments.
- Issue and manage Bills of Lading (B/L) Original, Surrender, Switch, and Telex Release.
- Prepare Bank Covering Letters and submit complete post-shipment document sets to the bank within stipulated timelines.
- Maintain document registers and ensure 100% compliance with DGFT / RBI export regulations.
Letter of Credit (LC) Management
- Scrutinise LC terms upon receipt; flag discrepancies and liaise with the buyer / issuing bank for amendments.
- Prepare LC-compliant document sets (Sight / Usance / Standby) adhering to UCPDC 600 guidelines.
- Coordinate with the negotiating bank for LC negotiation, bill discounting, and realisation of export proceeds.
- Maintain LC-wise tracking and ensure zero discrepancies in submissions.
Compliance & Reporting
- Ensure timely BRC (Bank Realisation Certificate) closure and EDPMS (Export Data Processing & Monitoring System) compliance.
- Liaise with auditors / DGFT for export obligations, advance licence, and EPCG licence matters.
- Prepare weekly / monthly MIS reports on shipment status, freight costs, and document TAT.
- Stay updated on changes in customs tariff, EXIM policy, and RBI circulars.
Required Qualifications & Experience
- Bachelor's degree in Commerce, Business Administration, Logistics, or a related field.
- 2 6 years of direct experience in export logistics / freight forwarding / international trade documentation.
- Proven hands-on experience with sea freight exports (FCL / LCL).
- Strong knowledge of export documentation: Shipping Bill, B/L, Commercial Invoice, Packing List, COO, Phytosanitary Certificate (as applicable).
- Working knowledge of Letter of Credit (LC) scrutiny, compliance, and negotiation.
- Familiarity with ICEGATE, EDPMS, and RBI / DGFT regulations.
- Good understanding of INCOTERMS 2020 (EXW, FOB, CFR, CIF, DDP).
- Proficiency in MS Office (Excel, Word); experience with ERP / trade management software is a plus.
Preferred Qualifications
- Experience with AEO (Authorised Economic Operator) status procedures.
- Prior exposure to SEZ / bonded warehouse / deemed exports.
- Exposure to import-side documentation (Bill of Entry) for holistic supply-chain visibility.
- Working knowledge of EXIM trade finance instruments (Bank Guarantee, Standby LC, Buyers Credit).
- Certification in Export-Import Management (IIFT / FIEO / equivalent) is advantageous.
