Executive Operations
Role Purpose
The Executive Operations will be responsible for coordinating day-to-day transportation and dispatch operations, ensuring timely vehicle placement, smooth movement of shipments, compliance with documentation requirements, and effective coordination with transport vendors and internal stakeholders.
Key Responsibilities
1. Operations Coordination
- Coordinate and monitor daily dispatch, transit, and arrival of vehicles between origin and destination facilities.
- Ensure timely vehicle placement and dispatch as per operational requirements.
- Track shipments and proactively address delays, route deviations, and operational issues.
- Coordinate with origin and destination teams for smooth movement of goods.
2. Vendor & Transporter Management
- Coordinate with transport partners, fleet owners, and third-party logistics providers for vehicle placement.
- Follow up with vendors to ensure vehicle availability as per requirement.
- Support freight rate negotiations and vendor rate comparisons.
- Maintain effective relationships with transport vendors and resolve operational issues.
3. Compliance & Documentation
- Ensure accurate maintenance of transit and transportation records.
- Coordinate documentation including e-way bills, waybills, vehicle documents, and other statutory records.
- Ensure adherence to transportation safety, compliance, and operational SOPs.
- Maintain records for audits and operational reference.
4. Performance Tracking
- Monitor transportation SLAs, transit times, vehicle placement, and delivery performance.
- Track carrier/vendor performance and identify recurring operational gaps.
- Prepare daily/weekly MIS reports on dispatch, transit, delays, and vehicle utilization.
- Escalate critical delays and service issues to relevant stakeholders.
5. Cost Optimization
- Support initiatives to optimize transportation costs and improve vehicle utilization.
- Identify network gaps and opportunities to reduce empty return trips.
- Monitor freight costs and support adherence to approved budgets.
- Assist in identifying cost-saving opportunities without impacting service levels.
6. Issue Resolution & Stakeholder Coordination
- Coordinate with warehouse, transporters, customer, and destination teams to resolve operational challenges.
- Handle shipment delays, vehicle shortages, route issues, and delivery exceptions.
- Ensure timely escalation and closure of operational issues.
- Maintain clear communication with all stakeholders.

Preferred Experience & Qualification
- Qualification: Graduate in any discipline; MBA/PGDM in Operations or Logistics will be an added advantage.
- Experience: 14 years of relevant experience in transportation, logistics, warehouse, supply chain, or distribution operations.
- Experience in vehicle placement, dispatch coordination, transporter management, and shipment tracking will be preferred.
