Job summary

Manorama Industries is seeking an Executive Assistant to support the Chairman across calendar management, communications, and high-level coordination. You will manage confidential correspondence and coordinate with board members, executives, and partners to ensure timely execution of strategic priorities.

The role requires outstanding organizational skills, ability to handle sensitive information with discretion, and willingness to travel both domestically and internationally as needed.

Qualifications

  • Bachelor's or Master's degree in Business Administration, Management, or related discipline.
  • Experience supporting senior executives in large corporate/manufacturing environments is preferred.
  • Excellent verbal and written communication with strong business acumen.

Responsibilities

  • Proactively manage the Chairman's calendar across time zones and engagements.
  • Act as gatekeeper, prioritizing requests and coordinating with stakeholders.
  • Plan and coordinate Board/Executive meetings; prepare agendas and minutes.
  • Handle VIP visits, protocol, and hospitality with impeccable discretion.
  • Serve as liaison between Chairman's Office and internal/external stakeholders.
  • Support strategic projects, research, and progress tracking against timelines.
  • Demonstrate professionalism and flexibility, including travel and after-hours work.

Job description

1. Executive Calendar & Priority Management
  • Proactively manage the Chairman's complex calendar, ensuring optimal scheduling of meetings, appointments, business engagements, and strategic priorities.
  • Anticipate scheduling conflicts, prioritize critical commitments, and ensure seamless coordination across multiple stakeholders and time zones.
  • Act as the gatekeeper to the Chairman's office, exercising sound judgment in managing requests and appointments.
2. Executive Communication & Confidential Correspondence
  • Manage all incoming and outgoing communications, including emails, telephone calls, official correspondence, and confidential documentation.
  • Draft high-quality business correspondence, presentations, reports, speeches, and meeting materials on behalf of the Chairman.
  • Maintain absolute confidentiality while handling sensitive corporate, commercial, and personnel information.
3. Board, Meeting & Governance Support
  • Plan, coordinate, and facilitate Board Meetings, Management Reviews, Executive Committee Meetings, and strategic discussions.
  • Prepare agendas, compile briefing notes, record minutes of meetings (MOM), track action points, and ensure timely follow-up with all stakeholders.
  • Monitor execution of key decisions and provide regular status updates to the Chairman.
4.VIP, Guest & Protocol Management
  • Coordinate visits of Board Members, dignitaries, investors, customers, government officials, and other distinguished guests.
  • Ensure exceptional hospitality, protocol adherence, and flawless execution of executive visits and meetings.
5. Stakeholder & Relationship Management
  • Serve as the primary liaison between the Chairman's Office, internal leadership teams, business partners, customers, government authorities, consultants, and external stakeholders.
  • Foster collaborative relationships while ensuring timely communication and effective coordination across functions
6. Special Projects & Strategic Initiatives
  • Support the Chairman in executing strategic projects, business initiatives, and cross-functional assignments.
  • Conduct research, gather business intelligence, prepare analytical reports, and monitor project progress against defined timelines.
7. Professionalism, Flexibility & Executive Presence
  • Demonstrate exceptional professionalism, discretion, and executive maturity while representing the Chairman's Office.
  • Exhibit flexibility to work beyond regular business hours, including weekends or holidays when required to support business priorities.
  • Be comfortable with frequent domestic and international travel and adapt to changing business schedules at short notice

Preferred candidate profile
  • Bachelor's or Master's degree in Business Administration, Management, or a related discipline.
  • 815 years of experience supporting a Chairman, CEO, Managing Director, or other senior executives in a large corporate or manufacturing environment.
  • Exceptional verbal and written communication skills with strong business acumen.
  • Outstanding organizational, planning, multitasking, and stakeholder management capabilities.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools.
  • Strong exposure to Board-level coordination, travel management, event planning, and executive administration.
  • Willingness to travel extensively (domestic and international) and work flexible hours to meet business requirements.
