Executive Assistant to MD
Provide comprehensive administrative support to the MD’s office, ensuring smooth operations and efficient communication within the organization.
Position Type: Onsite – Employees primarily work onsite.
Responsibilities
- Manage calendars, schedule appointments, and arrange meetings for the Executive Director & MD.
- Coordinate travel arrangements, including flight bookings, hotel accommodations, transportation, and process expense reports.
- Prepare and edit correspondence, presentations, and reports as required.
- Act as the primary point of contact for internal and external stakeholders, including visitors.
- Maintain filing systems, both electronic and physical, ensuring efficient organization and easy retrieval of documents.
- Assist in preparing agendas and taking minutes during meetings, and follow‑up on action items.
- Handle confidential information with discretion and always maintain confidentiality.
- Organize company events, conferences, and seminars, including logistics, catering, and materials preparation.
- Collaborate with other administrative staff to ensure seamless operations and support across departments.
- Support the admin manager in keeping accurate stock of office supplies and placing timely orders whenever needed.
- Coordinate with manager and procurement team for purchase requests.
- Support staffing team when required for interview scheduling and aid office administration activities.
Requirements
- Proven experience as an Executive Assistant, Secretary, or similar role, preferably supporting senior executives.
- Excellent proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Excellent organizational and time‑management skills, with the ability to prioritize tasks and meet deadlines effectively.
- Strong interpersonal skills and the ability to communicate confidently and professionally with individuals at all levels.
- High degree of discretion and confidentiality, with the ability to handle sensitive information appropriately.
- Detail‑oriented commitment to accuracy in all tasks.
- Ability to work independently with minimal supervision and as part of a team.
- Flexibility and adaptability to changing priorities and deadlines.
Qualification & Experience
- Bachelor’s degree in business administration, secretarial studies, or a related field is preferred.
- 10+ years of relevant work experience.
- AA/AS degree (or other 2-year post‑high‑school training) with a minimum of 8 years relevant experience.
Domestic relocation within India will be provided as per local company policies.
