Job summary

Mobavenue AI Tech Limited is seeking an Executive Assistant to support the Founders in calendar management, communications, and strategic coordination. The role requires organizational excellence, discretion, and the ability to operate in a fast-paced startup environment.

You will coordinate with leadership, clients, and vendors, prepare materials for leadership meetings, and assist with business reporting and special projects.

Qualifications

• Bachelor’s degree in Business Administration, Management, Communications, or related field.
• 3–8 years of experience as Executive Assistant or similar role.
• Experience supporting Founders, CXOs, Directors, or Senior Leadership teams preferred; startup/AdTech exposure a plus.

Responsibilities

• Manage founders' calendars, appointments, meetings, and travel arrangements.
• Coordinate with leadership, clients, partners, and vendors on behalf of the Founders.
• Prepare agendas, minutes, and action trackers; monitor progress on action points.
• Support in business planning, reporting, data compilation, and executive summaries.
• Maintain confidential records and ensure discretion in handling sensitive information.

Job Description

Role Overview The Executive Assistant will serve as a key support partner to the Founders, managing schedules, communications, meetings, follow-ups, and business coordination activities. The role requires exceptional organizational skills, confidentiality, business acumen, and the ability to operate effectively in a fast-paced environment.

Calendar & Schedule Management

• Manage and coordinate the Founders' calendars, appointments, meetings, and travel schedules.
• Prioritize and organize meetings based on business requirements.
• Ensure efficient time management and scheduling of critical discussions.

Stakeholder Coordination

• Act as a liaison between the Founders and internal/external stakeholders.
• Coordinate with leadership teams, clients, partners, and vendors on behalf of the Founders.
• Ensure timely follow-ups and closure of action items.

Meeting Management

• Prepare agendas, presentations, minutes of meetings (MoMs), and action trackers.
• Monitor progress on key action points and ensure timely completion.
• Assist in organizing leadership meetings, reviews, and strategic discussions.

Business & Operational Support

• Support the Founders in business planning, reporting, data compilation, and research activities.
• Prepare business reports, presentations, dashboards, and executive summaries.
• Assist in special projects and strategic initiatives as assigned.

Travel & Event Coordination

• Manage domestic and international travel arrangements, including flights, hotels, visas, and itineraries.
• Coordinate leadership events, conferences, and external engagements.

Documentation & Confidentiality

• Maintain confidential records, documents, contracts, and business correspondence.
• Ensure sensitive information is handled with the highest level of discretion and professionalism.

Preferred Qualifications

• Bachelor's degree in Business Administration, Management, Communications, or related field.
• 3–8 years of experience as an Executive Assistant, Executive Coordinator, Chief of Staff Support, or similar role.
• Prior experience supporting Founders, CXOs, Directors, or Senior Leadership teams will be preferred.
• Experience in AdTech, MarTech, Digital Marketing, Technology, Start-up, Consulting, or similar high-growth environments will be an added advantage.
