Qualifications

  • MBA/PGDM or relevant qualification is an advantage.
  • 3-5 years of EA/PA or similar experience.
  • Experience with senior management support preferred.

Responsibilities

  • Manage executive calendar, appointments and daily schedule.
  • Coordinate internal and external meetings with stakeholders.
  • Prepare agendas, presentations and briefing documents.
  • Attend meetings, take MoMs and track action items.
  • Handle emails, calls and correspondence for the executive.
  • Coordinate domestic and international travel arrangements.
  • Prepare MIS reports, trackers and dashboards as needed.
  • Maintain confidential documents and filing systems.
  • Support organizing conferences, events and leadership visits.
  • Act as professional point of contact for stakeholders.

Job description

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant (EA) to provide comprehensive administrative and executive support to senior leadership. The ideal candidate will be responsible for managing schedules, coordinating meetings and travel, handling confidential information, preparing reports and presentations, and ensuring timely follow-up on key tasks and action items.

The role requires excellent communication, coordination, time-management, and multitasking skills, along with the ability to work independently in a fast-paced business environment.

Key Responsibilities
  • Manage the executive's calendar, appointments, meetings, and daily schedule.
  • Coordinate internal and external meetings with senior management, clients, vendors, and other stakeholders.
  • Prepare meeting agendas, presentations, briefing documents, and other required materials.
  • Attend meetings, prepare Minutes of Meetings (MoM), and track action items to ensure timely closure.
  • Manage emails, calls, correspondence, and other communications on behalf of the executive.
  • Prioritize incoming communication and ensure important matters are highlighted and escalated appropriately.
  • Coordinate domestic and international travel arrangements, including flights, hotels, transportation, itineraries, and travel documentation.
  • Maintain and organize confidential documents, records, reports, and business information.
  • Prepare MIS reports, presentations, trackers, dashboards, and management reports as required.
  • Coordinate with various departments to collect information and ensure timely completion of assigned tasks.
  • Follow up with internal and external stakeholders on pending activities and commitments.
  • Support the executive in monitoring key projects, deadlines, and business initiatives.
  • Assist in organizing conferences, business meetings, events, and leadership visits.
  • Handle expense statements, travel claims, invoices, and other administrative documentation as required.
  • Act as a professional point of contact between the executive and internal/external stakeholders.
  • Maintain a high level of confidentiality while handling sensitive business and personal information.
  • Maintain an organized filing and document-management system, both physical and digital.
  • Support the executive in preparing reports, letters, emails, presentations, and other official communications.
  • Coordinate with other Executive Assistants, Personal Assistants, and administrative teams whenever required.
  • Anticipate the executive's requirements and proactively ensure necessary information, documents, and arrangements are available.
  • Handle multiple priorities simultaneously while ensuring accuracy and timely execution.
  • Perform any other administrative or coordination responsibilities assigned by senior management.

Qualification & Experience
  • Bachelor's degree in any discipline; MBA/PGDM or relevant qualification will be an advantage.
  • 3-5 years of experience as an Executive Assistant, Personal Assistant, Management Assistant, or similar role.
  • Experience supporting senior management, CXO, Director, or Business Head will be preferred.
  • Prior experience in a corporate environment is preferred.
