Role Summary
The Engineering Document Controller is responsible for managing, organizing, and maintaining all technical and project-related documentation in accordance with company and client requirements. This role ensures accurate, timely, and traceable document management processes throughout the project lifecycle, supporting engineering, procurement, and construction teams in maintaining document integrity, version control, and accessibility.
Key Responsibilities
- Establish and maintain an efficient document control system (electronic and hard copy) in line with project procedures.
- Manage receipt, registration, tracking, and distribution of all engineering and vendor documentation.
- Ensure timely retrieval, approval, and issuance of controlled documents to internal and external stakeholders.
- Monitor document revision status and ensure obsolete or superseded documents are withdrawn and archived properly.
- Interface with project teams to ensure compliance with document control procedures and standards (ISO 9001 / ISO 14001 / ISO 45001).
- Maintain a master document register and transmittal records for all incoming/outgoing documents.
- Support audit requirements by providing traceable documentation and compliance records.
- Train project personnel on document control systems and procedures.
- Coordinate with clients, vendors, and subcontractors to manage document submittals and approvals.
- Generate document status reports and ensure KPIs are met for document turnaround and review cycles.
Education & Qualifications
Diploma or bachelor’s degree in engineering, Information Management, or a related technical field.
Professional certification in document control (preferred):
Certified Document Controller (CDIA+, DAMA, or similar)
Training in EDMS systems (Aconex, SharePoint, Smart Plant, Documentum, etc.)
Knowledge of ISO 9001:2015 document management standards. Experience

- Proficient in Electronic Document Management Systems (EDMS) such as Aconex, SharePoint, Smart Plant, or Meridian.
- Strong understanding of engineering drawings, data sheets, specifications, and vendor documentation.
- Knowledge of project document numbering, revision control, and transmittal procedures.
- Excellent MS Office Suite skills (Word, Excel, PowerPoint, Access).
- Strong attention to detail and accuracy.

Responsibilities
- Manage receipt and control of design deliverables; establish EDMS; ensure all design documents meet QA/QC standards.
- Procurement Phase Track vendor document submissions; ensure vendor data book compliance; manage document reviews and approvals.
- Construction Phase Control site-related drawings, redlines, as-built updates, and ensure synchronization with central document control.
- Commissioning & Handover Phase Prepare final document dossiers; ensure all as built and operation manuals are properly archived and handed over.
