1. Position Summary
Engineer or officer – Tactical Purchasing – is responsible for the reliable day-to-day execution of purchasing activities for assigned suppliers. The role manages supplier schedules, purchase orders, material follow-up, shortages, ERP/IFS transactions, master data, reporting, logistics coordination, and routine transaction closure. The position also supports supply-chain process improvement, reporting automation, digital tools, and practical AI-enabled improvements under the direction of the Sr. Tactical Manager.
2. Key Responsibilities
Assigned Supplier and Schedule Management
- Independently manage assigned suppliers and maintain regular communication on schedules, acknowledgements, dispatches, and delivery status.
- Follow up material requirements and highlight delays, shortages, or exceptions promptly.
- Maintain accurate supplier commitments and open-action status.
Purchase Orders and ERP Transactions
- Release purchase orders and schedules against approved sources, prices, and terms.
- Complete ERP/IFS transactions, purchase requisition and purchase order updates, arrival registration, ASN follow-up, and assigned transaction closures.
- Escalate price, term, or commercial exceptions to the Sr. Tactical Manager without negotiating independently.
Material Availability and Shortage Follow-up
- Execute material follow-up based on ERP/MRP requirements and production priorities.
- Maintain the shortage tracker, follow up routine recovery actions, and provide accurate material status.
- Coordinate with Planning and Operations on routine schedule changes and escstriate risks that may affect production.
Inventory and Master Data
- Maintain inventory, safety-stock, lead-time, planning, supplier, and part data accurately in ERP/IFS.
- Follow up agreed actions on excess stock, shortages, inventory optimization, and system exceptions.
- Complete MDM updates, CR/CO follow-up, and other assigned master-data activities.
Supplier Quality and Transaction Closure
- Issue and follow up routine supplier rejection notices and coordinate required responses with Supplier Quality.
- Process and follow up debit notes, credit notes, IDPMS items, invoice or payment queries, and routine closures as assigned.
- Maintain clear records and elevate unresolved or recurring issues.
Logistics and Material Movement
- Coordinate local vehicles, transport, material movement, shipment tracking, and transport-bill follow-up.
- Work with suppliers, Logistics, and internal teams to resolve routine delivery and documentation issues.
- Escalate major or repeated logistics risks to the Sr. Tactical Manager.
Reporting and Data Management
- Prepare accurate and timely reports for shortages, inventory, supplier delivery, premium freight, open purchase orders, logistics, and transaction status.
- Maintain purchasing trackers, supporting data, records, and documentation for management reviews.
- Use ERP, Excel, Power BI, and other approved tools to improve data accuracy and visibility.
Projects, Compliance, and Documentation
- Maintain trackers and complete routine follow-up for transfer projects, engineering changes, BIS, EPCG, and other assigned compliance activities.
- Provide purchasing, purchase order, shipment, ERP, and supporting documents for Advance Authorization and other duty-benefit scheme activities.
- Ensure records and transactions comply with company procedures and applicable requirements.
AI and Business-Process Improvement Support
- Support the Sr. Tactical Manager in identifying and implementing practical AI and digital use cases in supply-chain processes.
- Assist with data preparation, reporting automation, dashboard support, workflow standardization, digital trackers, and documentation.
- Follow up improvement actions and help measure improvements in accuracy, response time, or process efficiency.
3. Key Working Relationships
- Internal: Sr. Tactical Manager, Planning, Operations, Quality, Supplier Quality, Engineering, Manufacturing Engineering, Finance, Logistics, IT, and Purchasing team members.
- External: Assigned suppliers, logistics providers, transporters, and other service partners.
4. Minimum Qualifications and Experience
- Bachelor’s degree or Diploma in Mechanical, Production, Industrial, Automobile, Supply Chain, or a related discipline.
- 3-5 years of experience in tactical purchasing, material planning, supplier scheduling, logistics, or supply-chain operations within a manufacturing environment.
- Working knowledge of MRP, purchase orders, supplier schedules, material follow-up, shortage management, inventory control, and production support.
- Practical experience using ERP systems; IFS experience is preferred.
- Good knowledge of Microsoft Excel and purchasing reports; Power BI or reporting-automation exposure is preferred.
- Basic knowledge of import/export documentation, logistics, and duty-benefit scheme supporting documents is desirable.
- Strong attention to detail, follow-up discipline, analytical ability, problem-solving, communication, and cross-functional coordination skills.
- Interest in digital tools, reporting automation, AI-enabled improvement, and business-process standardization.
- Awareness of ISO 9001, ISO 14001, company procedures, and applicable compliance requirements.
- Willingness to travel to supplier locations when required.

- On-time supplier follow-up and material availability for assigned suppliers.
- Timely closure of routine shortages, open purchase orders, acknowledgements, delivery actions, and transactions.
- Accurate ERP/IFS transactions, master data, reports, trackers, and documentation.
- Inventory and safety-stock actions completed within agreed timelines.
- Timely logistics coordination and escalation of delivery risks.
- Routine supplier-quality, debit or credit, IDPMS, invoice, and payment actions followed through to closure.
- Accurate and timely support for projects, compliance, and duty-benefit scheme documentation.
- Measurable improvement in reporting, workflow standardization, digital tracking, and process efficiency.
7. Role Authority and Escalation
- Independently manage assigned suppliers and operational purchasing activities within approved processes, sources, prices, terms, and authority limits.
- Escalate material, supplier, quality, logistics, system, compliance, pricing, or commercial exceptions to the Sr. Tactical Manager.
- Recommend schedule, inventory, logistics, reporting, system, and process-improvement actions.
- Refer casting and machining matters to the Senior Engineer and strategic or commercial decisions to the responsible manager or function.
- The role is an individual-contributor position with independent accountability for assigned suppliers and activities.
