Husco International in Pune, India, is seeking a reliable Dispatch Officer to coordinate customer order fulfillment, shipments, and invoicing. This role links Sales, Planning, Production, Logistics and customers to meet delivery requirements with visibility and accuracy.

You will collaborate with Planning, Production, Quality and Logistics teams to prioritize shipments, communicate risks, and ensure timely documentation. Strong ERP and Excel skills are essential in a fast-paced environment.

Qualifications

• Bachelor’s degree in business, commerce, supply chain, logistics or related field.
• 3–5 years of experience in customer service, sales operations, dispatch coordination or logistics in manufacturing.
• Knowledge of domestic and export shipment processes and invoicing is mandatory.
• Experience with ERP systems such as IFS, SAP or Oracle.
• Strong Excel and MS Office skills.
• Excellent communication and coordination skills.
• Ability to manage multiple priorities in a fast-paced environment.

Responsabilités

• Coordinate and monitor customer orders through shipment and invoicing.
• Ensure on-time dispatch of customer orders per schedules and delivery commitments.
• Work with Planning, Production, Quality and Logistics to prioritize and expedite shipments; communicate risks.
• Generate and verify invoices, packing lists and other shipping documents.
• Coordinate domestic and export shipment documentation and ensure compliance with customer requirements.
• Maintain shipment trackers and provide regular updates on delivery performance.
• Coordinate with freight forwarders, carriers and logistics providers for timely pickup and delivery.
• Review customer schedules, forecasts and demand to support shipment planning.
• Resolve shipment, invoicing, and delivery issues promptly.
• Ensure ERP transactions related to shipments and invoicing are accurate.
• Participate in customer meetings on delivery performance and logistics issues.
• Monitor delivery performance and reporting.
• Be a strong team player; work well in fast-paced high-pressure environment.

POSITION SUMMARY

A successful Dispatch Officer is responsible for coordinating customer order fulfillment activities to ensure on-time shipments and accurate invoicing. This position serves as a key link between Sales, Planning, Production, Logistics, and Customers to ensure customer delivery requirements are met while maintaining shipment visibility and invoicing accuracy.

The Dispatch Officer is the primary interface between customers and Husco Operations, requiring strong interpersonal and leadership skills, the ability to communicate effectively and resolve conflicts. A personal commitment to customer service and customer satisfaction is critical to success.

PERFORMANCE OBJECTIVES

• Coordinate and monitor customer orders through shipment and invoicing.
• Ensure on-time dispatch of customer orders in accordance with customer schedules and delivery commitments.
• Work closely with Planning, Production, Quality, and Logistics teams to prioritize and expedite shipments when required. Communicate potential delivery risks to Sales.
• Generate and verify customer invoices, packing lists, and other shipping documentation.
• Coordinate domestic and export shipment documentation and ensure compliance with customer requirements.
• Maintain shipment trackers and provide regular updates on delivery performance.
• Coordinate with freight forwarders, carriers, and logistics providers to ensure timely pickup and delivery.
• Review customer schedules, forecasts, and demand requirements to support shipment planning.
• Resolve shipment, invoicing, and delivery-related issues in a timely manner.
• Ensure ERP transactions related to shipments and invoicing are completed accurately and on time.
• Participate in customer meetings regarding delivery performance and logistics issues as required.
• Monitor customer delivery performance and manage reporting
• Strong Team Player and Contributor. Be able to work well with colleagues and produce results within a fast-paced and high-pressure atmosphere. Combines strong attention to detail with an orientation towards results and execution.

MINIMUM QUALIFICATIONS

• Bachelor’s degree in business, Commerce, Supply Chain, Logistics, or a related field.
• 3-5 years of experience in customer service, sales operations, dispatch coordination, or logistics within a manufacturing environment.
• Knowledge of domestic and export shipment processes and invoicing is mandatory.
• Experience using ERP systems such as IFS, SAP, Oracle, or similar.
• Strong proficiency in Microsoft Excel and Microsoft Office applications.
• Excellent communication and coordination skills.
• Ability to manage multiple priorities in a fast-paced customer-focused environment.
