Key responsabilities
The Documentation and Administration Officer plays a crucial dual role, ensuring the efficient and accurate management of all project and internal documentation, while also providing essential administrative support to the team and office operations. This position requires meticulous attention to detail, strong organizational skills, and a proactive approach to maintaining information integrity and office efficiency.
Documentation Management:
- Develop, implement, and maintain a robust document control system for all project, technical, and internal documents maintaining confidentiality
- Manage and control project documentation in accordance with project
- Manage the documentation lifecycle from creation and approval to distribution, archiving and eventual disposal, in line with company policies
- Maintain a central, up-to-date repository (digital and physical) for all official documents, ensuring easy retrieval and secure storage
- Ensure timely and accurate document flow across engineering teams. Maintain logs, revision history, and transmittals
- Assist with queries on documentation requirements and submissions
Basic Accounting Support :
- Bookkeeping Assistance: Assist the accounts department with basic data entry, including inputting invoices, receipts, and expense reports into the accounting software
- Documentation: Organize and maintain financial records, ensuring all documents are accurately filed, scanned, and easily retrievable
- Reconciliation Support: Assist in preparing simple bank and vendor statement reconciliations
Administration Support:
- Support Travel & Admin Officer with travel and admin activities whenever needed
