Job Overview:

KG Foundations is seeking an experienced and detail-oriented Contracts Manager to lead end-to-end contract administration, vendor selection, rate analysis, bill verification, and compliance across our residential real estate projects. The ideal candidate will take full ownership of the tendering process, commercial negotiations, and trade-wise contract finalization while working closely with site teams, architects, and external consultants.

Key Responsibilities:

1. Vendor Sourcing & Contractor Selection

• Develop, pre-qualify, and maintain a robust network of reliable civil, finishing, and MEP contractors/vendors.
• Float tenders and RFQs (Request for Quotations) based on purchase/service requisitions received from project sites.
• Conduct technical and commercial screenings to shortlist prospective contractors and vendors.

2. Tendering, Rate Analysis & Commercial Negotiations

• Prepare, review, and finalize BOQs (Bill of Quantities), tender documents, and technical specifications.
• Conduct detailed rate analysis, quantity surveying, and market research to benchmark pricing against existing projects.
• Lead competitive negotiations on price, delivery schedules, payment terms, and scope to ensure contract award within budgeted provisions.
• Prepare comprehensive technical and financial quote comparison statements for management sign-off.

3. Contract Documentation & Execution

• Draft, issue, and finalize Letters of Intent (LOI), Work Orders (WO), Purchase Orders, and legal Contract Agreements with detailed technical terms and safety clauses.
• Manage trade-wise contract packages (e.g., Civil, Finishing, Painting, Tiling, Plumbing, Electrical).
• Process all work orders, agreements, and contract records in ERP / SAP systems.

4. Contract Management, Compliance & Penalty Administration

• Oversee active contracts to ensure strict adherence to agreed-upon milestones, quality parameters, and timeline commitments.
• Administer contractual remedies, claims, and delay penalties where applicable.
• Coordinate and enforce statutory compliance across all contractors/consultants, including Workmen Compensation/Insurance, PF, ESI, and Labour License requirements.
• Manage material lists, formal approvals, and site notifications issued to contractors.

5. Site Coordination, Joint Measurements & Billing Verification

• Conduct periodic site visits/inspections for verification of progress and joint measurements of additional/extra work items.
• Review, verify, and certify contractor running bills and final bills prior to finance clearance.
• Act as the primary bridge between consultants, architects, site execution teams, and contractors to resolve technical bottlenecks and keep projects on schedule.

Key Qualifications & Attributes:

• Education: B.E. / B.Tech in Civil Engineering (NICMAR qualification is a plus).
• Experience: 8 to 12+ years in contract administration, tendering, QS, and rate analysis for building construction / real estate projects.
• Technical Skills: Hands-on experience with ERP, MS Office, AutoCAD, and Quantity Surveying tools.
• Competencies: Strong negotiation skills, thorough knowledge of legal contract clauses, standard construction specifications, statutory compliances, and cost control techniques.
