• High proficiency in Excel/Google Sheets; exposure to Yardi, CoStar, LoopNet/Crexi, or CRMs is a strong plus.
• Solid understanding of leasing terminology and structures (LOIs, TIs, CAM, lease redlines, guaranty structures).
• Bachelor’s degree or equivalent practical experience in business, real estate, operations, or related fields.

Responsibilities

• Own and optimize the portfolio lease tracker across 30 properties for real-time executive reviews.
• Drive proactive broker cadence with logging and feedback.
• Flag stalled deals, diagnose bottlenecks, and propose actionable next steps to the Leasing Manager.
• Ensure same-day, accurate marketing materials, floor plans, and comps for brokers.
• Harness AI to draft, format, and review redlined lease agreements with precision.
• Create concise LOI summary sheets ahead of strategic calls.
• Continuously refine documentation processes to speed up cycle times.
• Assemble and audit fully executed lease packages for handoffs to Asset Management.
• Coordinate tenant onboarding: documents, COIs, and move-in logistics.
• Weekly cadence: Monday status refresh; Tue/Thu broker engagement; Friday deal movement synthesis.

By managing portfolio tracking, broker cadence, and deal logistics, you empower our Leasing Manager to focus entirely on high-stakes negotiations and relationship management.

Key Responsibilities :

a. Tracker Ownership: Own and optimize the portfolio lease tracker across all 30 properties, ensuring real-time accuracy for daily executive reviews.

b.Broker Cadence: Drive a proactive follow-up schedule with brokers based on portfolio cadence, loggingstrategic updates and feedback.

c.Bottleneck Resolution: Flag stalled deals early, diagnose friction points, and present actionable solutions or next steps to the Leasing Manager.

d.Marketing Support: Ensure same-day, accurate turnaround for property marketing materials, floor plans, andcomps requested by brokers.

a. AI-Powered Drafting: Harness AI and modern toolsets to draft, format, and review redlined lease agreements based on manager-negotiated terms with absolute precision.

b.LOI Summaries: Create concise, high-impact LOI summary sheets (rent, terms, structure, guaranties) ahead of strategic calls.

c.Process Optimization: Continuously refine documentation processes to eliminate errors and speed up cycle times.

3. Streamlined Onboarding & Handoffs

a. Deal Execution Packages: Assemble and audit fully executed lease packages for seamless handoffs to Asset Management on execution day.

b.Tenant Onboarding: Own the tenant onboarding pipeline—coordinating document flows, Certificates of Insurance (COIs), and move-in logistics with extreme detail.

Weekly Workflow Cadence

Monday : Execute a full 30-building portfolio status refresh and strategic priority update for executive

review.

Tue/Thus : Lead targeted broker engagement and follow-up rounds for priority and bi-weekly deals.

Friday : Synthesize weekly deal movement (LOIs, active drafts, executions, stalled items) and lead

a focused 15-minute alignment sync with the Leasing Manager.

Qualifications & Requirements

• Experience: 0–3+ years in commercial real estate, leasing operations, asset management, or high-velocityoperations roles.
• AI & Tech Savviness: Hands-on experience with modern AI tools (e.g., ChatGPT, Claude, custom workflowautomation) to speed up writing, data processing, and problem-solving. High proficiency in Excel/Google Sheets; exposure to Yardi, CoStar, LoopNet/Crexi, or CRMs is a strong plus.
• Industry Acumen: Solid understanding of leasing terminology and structures (LOIs, TIs, CAM, lease redlines,guaranty structures).
• Communication Skills: Elite written and verbal communication skills; comfortable presenting ideas, drafting executive summaries, and managing broker relations.
• Education: Bachelor’s degree or equivalent practical experience in business, real estate, operations, or related fields.
