Job summary

Istec Manufacturing in Maharashtra is seeking a detail-oriented Purchase & Procurement Coordinator to manage PO execution, supplier coordination, and ERP data entry in a fast-paced production environment.

You will align with Production Planning and Stores to prevent material shortages, track critical items, and maintain accurate procurement records while upholding process discipline and timely deliveries. Health insurance and onsite work support your duties.

Responsibilities

• Purchase Order Execution & Follow-up: release POs to suppliers, monitor acknowledgements, delivery commitments, dispatch status, pending supplies, ensure timely receipt of materials.
• Production Material Coordination: daily coordination with Production Planning and Stores, monitor shortages, prevent stoppages, track urgent material needs.
• Supplier Coordination: communicate with suppliers, track delivery adherence, responsiveness, documentation, coordinate dispatches and logistics, follow up on invoices, e-way bills, test certificates, GRNs, quality reports.
• ERP & Documentation Discipline: create/update procurement in ERP/Odoo, maintain records, update PO releases, receipts, delivery schedules, open orders, ensure traceability.
• Inventory Coordination: support min-max, safety stock, FIFO, supermarket practices; coordinate stock with Stores; highlight low/excess stock; support accuracy initiatives.

Role & responsibilities

1. Purchase Order Execution & Follow-up

• Release Purchase Orders to approved suppliers as per instructions from Strategic Sourcing team
• Follow up with suppliers for:
  • Order acknowledgement
  • Delivery commitments
  • Dispatch status
  • Pending supplies
• Ensure timely receipt of materials as per production schedules
• Escalate delivery risks proactively

2. Production Material Coordination

• Coordinate daily with Production Planning and Stores teams
• Monitor material shortages and pending items
• Ensure no production stoppage due to material non-availability
• Track urgent and critical material requirements
• Support production prioritization activities

3. Supplier Coordination

• Maintain regular communication with approved suppliers
• Track supplier performance related to:
  • Delivery adherence
  • Responsiveness
  • Documentation compliance
• Coordinate supplier dispatches and logistics
• Follow up for pending documents:
  • Invoices
  • E-way bills
  • Test certificates
  • GRNs
  • Quality reports where applicable

4. ERP & Documentation Discipline

• Create and update purchase transactions in ERP/Odoo
• Maintain accurate procurement records
• Ensure timely system updates for:
  • PO release
  • Material receipts
  • Delivery schedules
  • Open orders
• Maintain documentation traceability

5. Inventory Coordination

• Support implementation of:
  • Min-Max inventory systems
  • Safety stock systems
  • FIFO systems
  • Supermarket inventory practices
• Coordinate with Stores team for stock monitoring
• Highlight low-stock and excess-stock situations
• Support inventory accuracy initiatives

Preferred candidate profile

Required Qualifications

Diploma / BE in Mechanical / Production / Industrial Engineering

Experience Required

• 26 years experience in manufacturing purchase/procurement coordination
• Experience in plastics, machining, sheet metal, tubular parts, automotive, or industrial manufacturing preferred
• ERP/Odoo experience will be added advantage
