Job summary

Circle K, part of ACT's India Fuels & Logistics Global Capability Centre, seeks a Logistics Associate – Invoice Data Management to perform data entry for internal fleet fuel deliveries and ensure reconciliation within compliance standards.

You will support with analytical reports, collaborate with Global Technology and Internal Fleet Maintenance, and help optimize invoice processing workflows in a fast-paced environment.

Qualifications

• Bachelor’s degree in finance & accounting or business administration.
• 0–1 year experience in a logistics/accounting role.
• Fluency in English—verbal and written communication; proficient with MS Excel/MS Office.

The hired candidate will partner with multiple departments, including Global Technology, Business Units, the Internal Fleet Maintenance team, and support functions.

About The Role

The incumbent will be responsible for performing data entry tasks for internal fleet’s fuel deliveries, ensuring all fuel deliveries are reconciled within standards set by the compliance team, and for completing operational inquiries by developing thoughtful and thorough practical analysis and reports to inform decisions and support business needs.

Roles & Responsibilities

Invoice Data Management

• Accurately input and manage invoice data in accounting systems.
• Ensure data integrity and consistency across financial records.
• Maintain organized records of all invoices, supporting documentation, and correspondence.
• Assist in audits by providing necessary documentation and reports.
• Assist in preparing reports related to invoice processing.
• Handle sensitive financial information with confidentiality and discretion.
• Ability to read paperwork from terminals to update systems accordingly.
• Effective email writing and verbal communication skills.

• Identify opportunities to streamline invoice processing workflows.
• Ensure compliance with company policies, accounting standards, and regulatory requirements.

Stakeholder Management

• Partner with stakeholders across Global Technology, Internal Fleet Maintenance, and Business Units Leadership to build and continually improve/ optimize metrics.
• Serve as first point of contact for the Business stakeholders for any technical/non-technical issues within the project and communicate the same to higher-ups within the stipulated timelines to avoid any process delays.
