Job Description: Assistant Vice President – Operations Position Overview
The Assistant Vice President – Operations is responsible for leading, managing, and continuously improving the organization’s operational functions to ensure efficient service delivery, process excellence, regulatory compliance, cost effectiveness, and a high standard of customer and stakeholder satisfaction. The role provides strategic and operational leadership across teams, drives performance against business objectives, and supports the implementation of scalable processes aligned with the organization’s growth plans.
The position works closely with senior leadership and cross-functional stakeholders to translate business strategy into operational priorities, strengthen governance, optimize resources, and build a culture of accountability, collaboration, and continuous improvement.
Key Responsibilities
Strategic and Operational Leadership
- Develop and execute operational strategies that support organizational goals, business growth, and long-term performance.
- Translate corporate objectives into clear operational plans, performance targets, and measurable outcomes.
- Lead day-to-day operations across relevant functions, ensuring effective coordination, service continuity, and timely execution.
- Identify operational risks, business challenges, and improvement opportunities, and implement appropriate corrective and preventive actions.
- Provide regular operational updates, performance insights, and recommendations to senior management.
Process Excellence and Continuous Improvement
- Review, standardize, and optimize business processes to improve productivity, quality, turnaround time, and cost efficiency.
- Establish and maintain standard operating procedures, operating guidelines, and process controls.
- Lead continuous improvement, automation, and transformation initiatives to enhance operational scalability and effectiveness.
- Use data, performance trends, and root-cause analysis to address process gaps and improve outcomes.
- Promote a culture of operational excellence, innovation, accountability, and knowledge sharing.
Performance Management and Governance
- Define and monitor key performance indicators, service-level agreements, quality measures, productivity metrics, and operational dashboards.
- Ensure timely review of performance results and implementation of action plans for areas below target.
- Establish effective governance mechanisms, reporting structures, review forums, and escalation processes.
- Maintain operational documentation, management reports, and performance records with a high degree of accuracy and transparency.
- Ensure that operational decisions are supported by relevant data, analysis, and business insights.
Team Leadership and Development
- Lead, coach, and develop operational managers and team members to achieve business and service objectives.
- Build high-performing teams through effective workforce planning, goal setting, performance management, and succession planning.

- Identify capability gaps and coordinate appropriate training, mentoring, and development initiatives.
- Establish clear roles, responsibilities, performance expectations, and accountability across operations teams.
Stakeholder and Cross-Functional Collaboration
- Partner with Finance, Human Resources, Technology, Compliance, Risk, Sales, Customer Service, and other business functions to ensure coordinated execution.
- Build strong working relationships with internal and external stakeholders, vendors, service providers, and strategic partners.
- Manage escalations professionally and ensure timely resolution of operational issues.
- Communicate operational priorities, changes, risks, and performance expectations clearly across all relevant levels of the organization.
Risk, Compliance, and Quality Assurance
- Ensure that operational activities comply with applicable laws, regulations, internal policies, contractual requirements, and industry standards.
- Strengthen internal controls, audit readiness, quality assurance practices, and operational risk management.
- Monitor compliance requirements and coordinate the timely closure of audit observations and identified control gaps.
- Implement business continuity, incident management, and contingency procedures to minimize operational disruption.
- Maintain a strong focus on data protection, information security, confidentiality, and ethical business practices.
Financial and Resource Management
- Manage operational budgets, staffing requirements, resource allocation, and cost optimization initiatives.
- Evaluate operational investments and recommend solutions that improve efficiency, quality, and business value.
- Ensure effective utilization of people, technology, facilities, and other operational resources.
- Monitor operating expenses and support financial planning, forecasting, and variance management.
Customer and Service Excellence
- Ensure consistent, timely, and high-quality service delivery across operational channels.
- Monitor customer feedback, service trends, complaints, and satisfaction indicators to identify improvement priorities.
- Develop and implement initiatives that enhance customer experience, service reliability, and stakeholder satisfaction.
- Ensure that customer-impacting issues are investigated, resolved, and prevented from recurring.
Key Requirements
- Bachelor’s degree in Business Administration, Operations Management, Finance, Engineering, or a related discipline. A master’s degree or relevant professional qualification is preferred.
- Significant experience in operations management, business process management, service delivery, shared services, or a related field.
- Proven experience managing teams, leading cross-functional initiatives, and delivering operational improvements.
- Strong understanding of operational governance, performance management, process optimization, risk management, and quality assurance.
- Demonstrated ability to develop and implement operational strategies aligned with business objectives.
- Experience managing budgets, resources, vendors, service-level agreements, and operational performance metrics.
- Strong analytical and problem-solving skills, with the ability to interpret data and convert insights into practical business actions.
