Position Summary
The Assistant Manager – Front Office is responsible for assisting the Front Office Manager in the smooth and efficient operation of the Front Office department. The position ensures a high standard of guest service, manages daily front desk operations, supports the front office team, handles guest concerns, and maintains effective coordination with other hotel departments.
The role requires strong leadership, communication, problem-solving, and organizational skills, with a strong focus on guest satisfaction and operational excellence.
Key Responsibilities
- Assist the Front Office Manager in managing the day-to-day operations of the Front Office department.
- Supervise and coordinate the activities of Front Desk, Concierge, Bell Desk, Guest Relations, and other relevant Front Office functions.
- Ensure smooth operations during check-in, check-out, room allocation, reservations coordination, and guest requests.
- Welcome and interact with guests, ensuring a warm, professional, and personalized experience.
- Handle guest complaints, requests, and service recovery effectively and professionally.
- Monitor guest satisfaction and take appropriate corrective action whenever required.
- Ensure that Front Office employees follow hotel policies, procedures, standards, and service guidelines.
- Conduct shift briefings and ensure effective communication of operational information to the team.
- Monitor room status and coordinate closely with Housekeeping to ensure rooms are released and updated accurately.
- Coordinate with Reservations, Housekeeping, Food & Beverage, Engineering, Security, and other departments to ensure seamless guest service.
- Monitor VIP arrivals, special occasions, repeat guests, and other special requirements.
- Ensure accurate handling of cash, credit card transactions, billing, deposits, and other financial procedures.
- Review and monitor daily reports, shift handovers, occupancy information, room discrepancies, and other Front Office reports.
- Assist in maintaining accurate guest records and ensuring compliance with hotel data and privacy procedures.
- Monitor overbooking, room availability, upgrades, walk-in guests, and room allocation in coordination with the relevant departments.
- Ensure proper handling of keys, guest messages, luggage, wake-up calls, and other Front Office services.
- Support emergency procedures and ensure guest and employee safety in accordance with hotel standards.
- Train, coach, and motivate Front Office team members to achieve service and operational standards.
- Assist in staff scheduling, duty allocation, performance monitoring, and attendance management.
- Conduct on-the-job training and provide regular feedback to team members.
- Identify operational challenges and recommend improvements to enhance efficiency and guest satisfaction.
- Assist the Front Office Manager with departmental budgets, cost control, and productivity initiatives.
- Ensure compliance with statutory requirements, hotel policies, brand standards, and health and safety procedures.
- Prepare and maintain departmental reports and records as required by management.
- Act as the Front Office Manager in their absence when assigned.
Guest Service Responsibilities
- Maintain a consistently high level of professionalism and hospitality.
- Anticipate guest needs and ensure prompt and effective resolution of concerns.
- Develop positive relationships with guests and encourage repeat business.
- Ensure all guest interactions reflect the hotel's service standards and brand values.
- Follow up on guest feedback and service recovery actions.
Leadership & Team Management
- Lead by example and demonstrate excellent customer service and professional conduct.
- Motivate the Front Office team to achieve departmental goals.
- Delegate responsibilities effectively and monitor performance.
- Conduct briefings, coaching sessions, and training as required.
- Support employee development and succession planning within the department.
- Maintain discipline and a positive working environment.
Qualifications & Experience
- Bachelor's degree or diploma in Hotel Management, Hospitality Management, or a related field.
- 5-10 years of relevant experience in Front Office operations, preferably in a hotel environment.
- Previous supervisory or team-leadership experience is required.
- Experience in a reputed hotel, resort, or hospitality organization is preferred.
- Proficiency in hotel Property Management Systems (PMS) such as Opera or equivalent.
- Good knowledge of Front Office procedures, guest relations, cashiering, room inventory, and hotel operations.
