Admin Executive
Job Brief
We are seeking an enthusiastic, organized, and people-oriented Junior Admin Officer to support the smooth functioning of our office operations. This is an entry-level to early-career role, ideal for a fresher or someone with 2-3 years of experience who is eager to build a career in office administration and corporate services. The ideal candidate will be detail-oriented, dependable, willing to learn, and proactive, with the ability to handle day-to-day tasks while maintaining a warm and professional service standard. Admin executive will assist with routine administrative activities, including managing office equipment, supporting expense management, scheduling meetings, helping with travel arrangements, and coordinating with vendors. Comfort with technology tools - especially the MS Office suite such as MS Word, Excel, PowerPoint and Outlook - is important, along with a willingness to learn other productivity tools like HRMS, CRM, and Travel & Expense Management systems. Ultimately, this role plays a key part in helping office procedures run smoothly and ensuring the workplace reflects professionalism, efficiency, and care.
Key Responsibilities
Office Operations & Hospitality
- Assist in scheduling and coordinating internal and external meetings, including meeting room setup and hospitality arrangements (food & beverages).
- Act as a welcoming point of contact for guests and visitors, ensuring a warm and professional experience.
- Support the day-to-day upkeep of the office, including workspace hygiene, pantry standards, and service quality.
- Help maintain key administrative processes and flag opportunities to improve efficiency and workflow.
Travel, Events & Engagement
- Assist with business travel arrangements for employees, including flight and hotel bookings, itineraries, and basic visa coordination, under guidance.
- Support the planning and execution of office events, offsites, and team activities.
- Help build and maintain a database of restaurants and hotels to support business travel and client hosting.
- Assist in organising travel itineraries, logistics, and documentation accurately.
Vendor, Finance & Assets
- Support vendor management, including maintaining vendor records, system registrations, and invoice documentation.
- Assist with expense management, including collecting and tracking receipts and timely submission to the respective team.
- Help manage office supplies and pantry stock, keeping an eye on adequate levels and cost control.
- Assist with IT asset tracking and record-keeping.
Employee Support & Compliance
- Help maintain employee records (physical and digital), including documentation and basic leave tracking.
- Manage incoming and outgoing mail and courier services.
- Assist in preparing reports, trackers, and presentations for the team.
- Respond to routine queries from managers and employees, escalating where needed.
- Support the upkeep of office policies and SOPs.
Key Skills & Requirements
- Good spoken and written English with a warm, professional personality.
- Fresher, or 2-3 years of experience in administration, corporate services, or hospitality roles.
- Graduate degree required a PG Degree / Diploma in HR and Administration or an equivalent professional qualification is an advantage. Basic proficiency in MS
Word, Excel, PowerPoint & Outlook.
- Good organizational, prioritization, and time-management skills.
- Attention to detail with a willingness to follow processes carefully.
- Clear communicator with good interpersonal and stakeholder skills.
