Accounts Receivable (AR)

Responsible for the effective management of the complete Order-to-Cash (O2C) cycle, ensuring timely and accurate invoicing, efficient collections, proper accounting and reconciliation of customer transactions, effective credit control, and compliance with applicable statutory requirements. The role requires close collaboration with Sales, Projects, Operations, Tax, and Finance teams to optimize cash flow, strengthen working capital, minimize overdue receivables, and ensure robust financial controls.

Key Responsibilities
  • Manage the complete Order-to-Cash (O2C) cycle, from customer onboarding and billing through collections, reconciliation, and closure of outstanding balances.
  • Ensure timely and accurate generation of sales invoices in accordance with approved contracts, purchase orders, work orders, commercial terms, and billing milestones.
  • Review billing documentation to ensure accuracy of pricing, GST, payment terms, customer details, and supporting documentation.
  • Drive timely customer collections and ensure adherence to agreed credit terms and payment schedules.
  • Develop and monitor collection targets, recovery plans, and cash collection forecasts to support effective cash‑flow management.
  • Conduct regular customer ledger reconciliations and ensure timely resolution of discrepancies, disputed balances, and accounting differences.
  • Monitor customer credit limits, credit periods, outstanding exposure, and payment history in accordance with the approved credit policy.
  • Assess customer credit risk and recommend appropriate credit limits and payment terms, wherever required.
  • Prepare and review accounts receivable ageing reports, identify critical and overdue accounts, and initiate timely follow‑up and escalation.
  • Monitor Days Sales Outstanding (DSO) and implement appropriate measures to improve collection efficiency and reduce the overall collection cycle.
  • Coordinate closely with Sales, Projects, and Operations teams to resolve billing disputes, short payments, deductions, claims, and customer‑related issues.
  • Ensure timely and accurate accounting, allocation, and reconciliation of customer receipts against respective invoices.
  • Review and clear unapplied, unidentified, and excess customer receipts through appropriate investigation and reconciliation.
  • Process debit and credit notes based on approved commercial adjustments and ensure proper accounting and documentation.
  • Coordinate periodic customer balance confirmations and resolve differences within defined timelines.
  • Monitor customer advances and ensure timely adjustment against relevant invoices and outstanding balances.
  • Track and reconcile TDS deducted by customers and coordinate with relevant teams for resolution of discrepancies and proper accounting.
  • Ensure compliance with applicable GST and statutory requirements relating to sales invoices, credit notes, debit notes, and other customer transactions.
  • Coordinate with relevant stakeholders for accurate and timely e‑invoicing and other statutory documentation, wherever applicable.
  • Ensure accurate accounting of revenue and receivables as part of monthly, quarterly, and annual financial closing activities.
  • Review long‑outstanding, doubtful, and potentially irrecoverable receivables and provide recommendations for provisioning, recovery, or write‑off, as appropriate.
  • Prepare and present AR MIS, ageing analysis, collection performance, DSO analysis, customer exposure, and cash‑flow reports to management.
  • Provide accurate receivable and collection forecasts to support cash‑flow planning, working capital management, and business decision‑making.
  • Ensure effective implementation and adherence to internal controls, credit policies, approval authorities, and accounting procedures.
  • Maintain complete and accurate records, supporting documents, reconciliations, and audit trails for all customer‑related transactions.
  • Support statutory, internal, tax, and financial audits by providing required schedules, reconciliations, confirmations, and supporting documentation.
  • Identify process gaps and implement improvements to enhance billing accuracy, collection efficiency, reconciliation, reporting, and overall O2C effectiveness.
  • Develop, implement, and periodically review SOPs, process controls, and approval mechanisms for the Accounts Receivable function.
  • Coordinate with Legal and Senior Management on critical and severely overdue accounts requiring formal recovery or escalation.
  • Maintain effective relationships with key customers and their finance/accounts teams to facilitate timely collections and resolve commercial or accounting issues.
  • Review customer‑wise outstanding exposure and highlight significant credit, collection, and financial risks to management.
  • Lead, guide, and monitor the AR team, ensuring timely completion of billing, collection, reconciliation, reporting, and month‑end closing activities.
  • Establish performance metrics and monitor key AR indicators such as collection efficiency, DSO, overdue percentage, ageing movement, and cash realization.
  • Drive continuous improvement in working capital optimization, cash conversion, collection effectiveness, and receivables quality.
