Functional Reporting: Head of Finance

Role Purpose

The Department Accountant acts as the dedicated financial and accounting backbone for their assigned operational department at Regal Jewellers. Reporting operationally to the Department General Manager and functionally to the Head of Finance, this role ensures transaction integrity, accurate day-to-day bookkeeping, robust expense tracking, and statutory compliance.

Detailed Key Responsibilities
A. Bank Reconciliation & Settlement Management (BRS)
  • POS & Digital Collection Reconciliations: Perform daily reconciliations of all departmental payment channels—including EDC/POS credit/debit card swipe machines, UPI, dynamic QR codes, and payment gateways—against daily billing registers.
  • MDR & Deductions Verification: Validate Merchant Discount Rates (MDR), gateway processing fees, and convenience charges deducted by partner banks prior to net credit settlement.
  • Cash-in-Transit & Counter Cash Matching: Reconcile daily physical counter cash collections against verified bank deposit slips, pick-up agency receipts, and bank statement credits to eliminate cash shortages or deposit lag.
  • Banking Operations & Instrument Tracking: Track inward customer booking advances and outward fund transfers (RTGS / NEFT / Cheques); promptly identify and address stale instruments, unpresented cheques, or uncredited inward remittances.
  • Chargeback & Dispute Handling: Log, investigate, and resolve card chargebacks, duplicate counter charges, and failed gateway transactions with acquiring banks.
  • Preparation of Formal BRS: Generate weekly and monthly Bank Reconciliation Statements (BRS) for all department-linked bank accounts; present unmapped bank charges, interest debits, and direct credits to the Head of Finance for monthly closing sign-off.
B. Vendor Reconciliation & Precious Metal Accounting
  • Statement of Account (SOA) Matching: Carry out periodic ledger-to-ledger reconciliations against external vendor statements across bullion dealers, jewellery manufacturers, karigars (job workers), gemstone suppliers, packaging vendors, and departmental service providers.
  • Precious Metal Weight & Purity Discrepancy Adjustments:
  • Reconcile physical metal received (weight in grams/milligrams and hallmark purity) against purchase orders, karigar issue slips, and melting reports.
  • Accurately compute and adjust wastage allowances, stone weight deductions, touch variations, and melting losses.
  • Debit/Credit Note Accounting: Generate and record debit/credit notes for Rate Differences (RD), Return to Vendor (RTV) items, defective craftsmanship, short deliveries, or hallmark test failures within 24 hours of audit.
  • Advances & Karigar Metal Loans: Track and reconcile running advance payments and metal advances issued to artisans/manufacturers against finished product delivery receipts.
  • GSTR-2B vs. Purchase Register Matching: Validate all vendor tax invoices against GST portal data (GSTR-2B) to protect 100% of Input Tax Credit (ITC) eligibility and prevent tax leakage.
  • Statutory Withholdings (TDS/TCS): Ensure accurate deduction and booking of TDS (e.g., Section 194C for making/job charges, Section 194Q for goods purchases) and TCS under Section 206C(1H).
  • Formal Balance Confirmation: Facilitate quarterly and fiscal year-end Balance Confirmation Letter processes, securing formal vendor sign-offs on open balances.
C. Departmental Accounting & Day-to-Day Bookkeeping
  • Scrutinize and record departmental transactions (purchases, sales, journal vouchers, and debit/credit notes) in the ERP/accounting system.
  • Maintain accurate sub-ledgers and ensure smooth synchronization with the central general ledger.
  • Process vendor bills, work orders, and utility invoices after matching with POs and securing approval from the Department GM.
  • Supervise petty cash disbursements, verify expense vouchers, and manage imprest replenishments with complete documentary evidence.
D. High-Value Inventory & Stock Tracking
  • Support periodic and surprise physical stock audits (gold, diamond, silver, bullion, and loose stones) against ERP system quantities.
  • Audit and record stock transfers (inter-branch/inter-department), customer approvals, returns, and memo stock movements.
  • Immediately flag any inventory discrepancies or transit delays to both the Department GM and Head of Finance.
E. Budgetary Control & Cost Optimization
  • Track departmental operating expenses (OPEX) daily against approved monthly and annual departmental budgets.
  • Identify budget overruns, unnecessary costs, or duplicate billings, alerting the Department GM before commitments are made.
  • Assist in preparing monthly variance analysis comparing budget forecasts against actual expenditure.
F. Dual-Reporting MIS & Analytics
  • To the Department General Manager (Operational Focus): Deliver daily/weekly operational reports on sales figures, stock velocity, order completion timelines, karigar turnaround times, and pending operational vendor payouts.
  • To the Head of Finance (Governance & Control Focus): Submit standardized monthly financial closing packs, BRS summaries, vendor ageing schedules, GSTR-2B mismatch reports, and provisions for expenses.
  • Participate actively in departmental reviews to provide financial data that supports operational decision-making.
