Student Experience Coordinator (Full-Time)

  • Contract Type: Full-Time, Permanent
  • Location: Dublin, Ireland (Remote & office-Based at IFSA Ireland, with occasional travel throughout Ireland and Northern Ireland as required)
  • Reports To: Director, Ireland & Northern Ireland Programmes
  • Salary: €34,000 - €36,000 per annum, depending on qualifications and experience; Opportunities for salary progression are available through IFSA's performance and compensation review processes.

Position Overview

Are you passionate about student support, intercultural learning, and creating transformative international education experiences?

IFSA is seeking a highly organised , student- centred , and proactive Student Experience Coordinator (SEC) to join our Ireland team in Dublin. This full-time role plays a central part in supporting international ( mainly U .S. ) undergraduate students throughout their study abroad journey, from pre-arrival planning through programme completion.

The SEC leads student advising, co-curricular programming, orientation delivery, and custom programme operations while collaborating closely with colleagues across IFSA's Global Health & Safety, Student Engagement, Academic Programmes, and Programme Operations teams. The role combines meaningful student engagement with substantial programme management and operational responsibilities.

Key Responsibilities

Student Support & Advising

  • Conduct appreciative advising sessions and learning plan consultations.
  • Maintain regular contact with students to support academic success, wellbeing, cultural integration, and personal development.
  • Perform student welfare check-ins and support students experiencing academic, health, housing, or adjustment challenges.
  • Serve as a trusted point of contact throughout the student journey.
  • Support student conduct processes and referrals when required.

Programme Delivery & Student Experience

  • Lead and support pre-arrival webinars, student arrivals, orientation programmes, excursions, cultural activities, and community engagement opportunities.
  • Coordinate airport arrivals, housing check-ins, and departure logistics for Dublin-based programmes.
  • Plan and deliver enriching co-curricular experiences that support intercultural learning and student engagement.
  • Manage event logistics including bookings, transportation, attendance tracking, communications, and risk management.
  • Collaborate with colleagues across Ireland to ensure a consistent and high-quality student experience.

Custom Programmes & Special Projects

  • Support the operational planning and delivery of faculty-led and custom academic programmes.
  • Support the coordination of programme logistics including accommodation, transport, academic spaces, guest speakers, cultural visits, and student support.
  • Work closely with U.S. and other international partner institutions and local providers to ensure successful programme implementation.
  • Support new programme development and special projects as assigned.

Academic & Administrative Operations

  • Manage academic processes including course registration, advising support, and programme records.
  • Maintain accurate student data and programme information in Salesforce and other institutional systems.
  • Coordinate student communications, surveys, reporting, and programme documentation.
  • Assist with housing administration, room allocations, arrivals information, and student records management.
  • Support budget tracking, vendor coordination, and administrative project management activities.

Health, Safety & Emergency Response

  • Participate in after-hours emergency response and emergency phone rotation as required.
  • Respond to student incidents and emergencies in line with IFSA policies and protocols.
  • Complete all required health, safety, safeguarding, FERPA, and compliance training.
  • Support risk management planning for programmes, excursions, and student activities.
  • Support, mentor, and coordinate part-time Programme Assistants and temporary staff during peak periods.
  • Work collaboratively with colleagues across Ireland and globally.
  • Participate actively in team meetings, planning initiatives, and organisational projects.
  • Represent IFSA professionally with university partners, accommodation providers, and community organisations .
  • Model IFSA's values of inclusive excellence, intercultural agility, individualized learning, and enduring impact.

What You Bring

Required Qualifications

  • Minimum 2-3 years of experience in study abroad, international education, higher education, student services, hospitality, programme management, tourism, youth work, or a related field.
  • Demonstrated experience supporting students or young adults in a similar environment.
  • Strong organisational skills and ability to manage multiple priorities simultaneously and independently.
  • Excellent written and verbal communication skills.
  • Ability to work independently while contributing effectively as part of a team.
  • Willingness to work occasional evenings and weekends during arrivals, orientations, excursions, and programme activities.
  • Legal right to work in Ireland; physically reside in or around Dublin

Preferred Qualifications

  • Experience working with U.S. study abroad students.
  • Knowledge of Irish higher education institutions and student life.
  • Experience with Salesforce or similar CRM systems.
  • Experience coordinating events, programmes, or international student activities.
  • First Aid, Mental Health First Aid, safeguarding, or student support training.
