Job summary

Veeva Systems is seeking an experienced Events professional to lead planning and delivery for large-scale conferences. The role emphasizes hands-on execution, budget stewardship, and cross-functional collaboration with sales, marketing, and operations across an agile, fast-moving team.

You will manage end-to-end event workstreams, vendor relationships, and financial tracking, while contributing to a seamless attendee experience and strong program outcomes.

Qualifications

• 3+ years experience in mid- to large scale corporate event logistics & production.
• Proven experience managing event program elements from start to finish with minimal supervision.
• Strong project and time management skills.
• Experience managing event budgets.
• Ability to travel 15%.

Responsibilities

• Support planning and execution of components of large-scale conferences.
• Manage event workstreams end-to-end (hotels, F&B, registration, welcome reception, evening event, meetings).
• Executes with high quality of service and timely delivery of all necessary components and materials for each event.
• Evaluate and manage third-party vendors and agencies alongside senior team members.
• Drive cross-functional workstreams independently, keeping timelines, priorities, and stakeholders aligned.
• Review vendor contracts, identify gaps, draft proposed edits with senior team members and Veeva's legal team.
• Manage budgets, procurement, and invoice reconciliation, including YoY cost-per-head analysis.
• Build and maintain the spreadsheets, forms, project plans, and presentations for event planning
