Senior Administrative Assistant to CEO (Maternity Leave Cover until end of May 2027)

The Role
We are seeking an experienced and self-directed Senior Administrative Assistant to work in partnership with the Chief of Staff to provide highest-level support to their CEO. This is a role for a seasoned professional who brings a calm, methodical approach to a fast-paced environment.
As a trusted partner to the CEO, and working closely will with the Chief of Staff you'll focus on point of coordination for diary management, travel logistics and high-level stakeholder engagement. you will ensure that the CEO’s priorities are advanced with the discretion and professionalism that only significant experience provides.
Key Responsibilities
- Provide comprehensive, high-level administrative support to the CEO, in partnership with the Chief of Staff to focus on long-term planning and efficiency.
- Manage and coordinate a complex diary, prioritising and negotiating meeting changes with diplomacy.
- Oversee travel arrangements, including international itineraries, flights and accommodation.
- Actively track key priorities and deadlines, providing the CEO with the necessary prompts and support to maintain focus on strategic goals.
- Maintain CRM records and provide note-taking support for high-level meetings.
- Support overseeing monthly expenses, credit card reconciliations and general office administration.
- Coordinate seamlessly with other departments to align leadership schedules and priorities.
- Draft personalised and nuanced communications on behalf of the CEO, ensuring brand voice and key messages are accurately reflected.
- Facilitate effective information flow between the CEO and senior internal stakeholders to advance objectives.
Required Experience & Skills
Qualifications & Experience
- At least five years of extensive administrative experience, including time spent supporting C-Suite or Board-level stakeholders.
- Extensive experience managing confidential and sensitive information with absolute discretion.
- Advanced proficiency with the Microsoft 365 suite (Outlook, Teams, SharePoint, PowerPoint).
- Previous experience with CRM systems or complex databases is highly regarded.

- Exceptional written and verbal communication skills, with the ability to produce high-quality work that requires minimal oversight.

- Highly organised and diligent, with the ability to remain composed and effective when managing competing priorities.
- Exceptional interpersonal skills and the professional stature to build relationships with senior academics and external donors.

Remuneration Package
Salary up to €50,000 DOE
