Evcone Ireland Ltd. is seeking an organised, proactive, and detail-oriented Security Administrator to join our growing Security Division. The successful candidate will play a key role in supporting the delivery of security projects and maintenance services throughout Ireland and the UK, working closely with project managers, engineers, clients, suppliers, and subcontractors. This role offers exposure to project coordination, client communications, compliance administration, procurement support, and reporting, making it an ideal position for an ambitious administrator seeking long-term career progression. Reporting to the Technical Services Director.
Project & Operational Administration
- Coordinate the administrative setup and mobilisation of security installation and maintenance projects.
- Maintain accurate project records, documentation, schedules, and client requirements.
- Support project managers in tracking project progress, outstanding actions, and key milestones.
- Assist with planning and scheduling activities to ensure efficient project execution.
Client & Stakeholder Support
- Act as a central point of contact for administrative enquiries from clients, suppliers, subcontractors, and internal teams.
- Ensure requests and actions are processed in a timely and professional manner.
- Build and maintain positive working relationships with internal and external stakeholders.
Compliance & Documentation Control
- Manage operational documents including Work Orders, Service Requests, RAMS (Risk Assessments & Method Statements), Permits to Work, Site Access Documentation and Completion Certificates.
- Ensure all documentation is accurate, complete, and compliant before works commence.
- Maintain records relating to Health & Safety, training, certifications, insurance documentation, and regulatory requirements.
Client Portal & System Management
- Administer client portals and business management systems.
- Upload and manage project documentation, compliance records, and service reports.
- Ensure information is maintained accurately and in line with client requirements.
Procurement & Reporting
- Assist with purchase order administration, supplier coordination, and equipment tracking.
- Support the preparation of operational reports, KPI data, and management information.
- Monitor outstanding actions and ensure administrative processes are completed efficiently.
Desirable Experience
- Experience within the Security, Facilities Management, Engineering, Construction or Maintenance sectors.
- Experience using client portals and job management platforms.
- Understanding of document control processes and compliance administration.
- Knowledge of Health & Safety documentation and contractor management processes.
About You
- Minimum 2 years administration or coordination experience.
- Strong Microsoft Office skills including Excel, Word, Outlook and SharePoint (2 years required).
- Excellent communication and organisational skills.
- High attention to detail and customer-focused approach.
- Full Driving Licence (required).
- Authorisation to work in Ireland (required).
- Must reliably commute to or plan to relocate to Shannon, Co. Clare before starting work.
