Mulligan Fencing is seeking an Administration Assistant to support the Management Team and Site teams with day-to-day operations. The role focuses on completing site documentation, RAMS, training records, and ISO compliance to ensure smooth project delivery.

Qualifications

  • Minimum of 2 years Administration experience in a fast-paced environment.
  • Health & Safety experience or qualification is advantageous.
  • Proficient in Microsoft Office, especially Excel and Word.
  • Conscientious with high attention to detail and able to multitask.
  • Motivated self-starter, able to work independently and in a team.
  • Excellent written and verbal English communication.

Responsibilities

  • Maintain health and safety records, including RAMS.
  • Ensure operatives have up-to-date training records.
  • Organise H&S training when necessary.
  • Ensure site are compliant with ISO standards.
  • Maintain and control site documentation.
  • Archiving records and paperwork (training records, inductions, timesheets).
  • Keep internal training matrix up to date.
  • Maintain machinery and plant records.
  • Support management with customer service and client relations.
  • Perform other duties as assigned by management.

COMPANY BACKGROUND

We are Mulligan Fencing, a successful and well-established specialist contractor in the manufacture and installation of security fencing, railings, gates, and acoustic noise barriers since 1997.


PURPOSE OF THE ROLE

To assist and support the Management Team and the wider Site teams by providing day to day operational duties for all service requirements across a variety of contracts. This will be a proactive role with the responsibility of ensuring that all site documentation, including Health & Safety, has been completed in full and in compliance with ISO standards.


PRINCIPAL ACCOUNTABILITIES


  • Maintaining health and safety records, including RAMS

  • Ensure all operatives have up-to-date training records

  • Organise H&S training where necessary

  • Ensure that the site/s are compliant with the relevant ISO standards

  • Maintenance and control of site documentation

  • Electronically archiving records and paperwork to include training records, inductions and timesheets

  • Ensure that internal training matrix is up to date

  • Ensure that machinery and plant records are up to date

  • Other ad hoc duties as assigned by management team

  • Responsible for the implementation and adherence of the paperwork pertaining to both Company and client quality and safety standards

  • Support the Management Team in promoting a culture of excellent customer service and establishing exceptional working relationships with the client/s

  • Any other duties as deemed necessary for the efficiency of the business


SKILLS AND KNOWLEDGE REQUIRED


  • A minimum of 2 years Administration experience in a fast-paced work environment

  • Health & Safety experience/ qualification an advantage

  • Highly proficient in Microsoft Office, with a particular emphasis on Excel & Word

  • Conscientious with a high attention to detail and an ability to multitask

  • Motivated self-starter, who can work both independently and as part of a team

  • Capable of prioritising tasks whilst possessing the ability to work under pressure

  • Excellent communication skills, both written and verbal, with fluent English
