About the role

Role/ Responsibilities

  • Main Daily Duties

    • To maintain professional language and decorum at all times, when dealing with both guests and colleagues. To respect other’s confidentiality and use discretion at all times.

    • To attend daily team briefings and receive important information about the day ahead, as well as receive your daily assignments or stations.

    • To read the daily handover report, ensuring you are aware of any ongoing promotions, guest requests, concerns, issues or special occasions.

    • To prepare the daily summary sheet and share it via email with the team, ensuring all relevant information for the day’s events as well as any guest requests, concerns or special occasions are included in this report.

    • To warmly and professionally handle all reservation enquiries, acknowledging guests promptly and providing efficient, friendly and attentive services at all times.

    • To ensure all emails are responded to within 8 hours of receipt. If you are personally unable to meet the request/query in the email, ensure the email is forwarded/escalated to the appropriate team member.

  • Main Customer Care Duties

    • Respond to reservation enquiries promptly, professionally, and courteously by telephone, email, and other booking channels.

    • Provide guests with accurate information regarding room availability, rates, packages, facilities, and hotel services.

    • Assist guests in selecting the most suitable accommodation and package based on their individual requirements.

    • Process new reservations, amendments, and cancellations accurately and efficiently.

    • Ensure all guest preferences, special requests, and relevant information are recorded correctly on the reservation system.

    • Deliver a warm, personalised service and maintain a high standard of customer care throughout the booking process.

    • Handle guest queries, concerns, and complaints professionally, resolving issues where possible or referring them to the appropriate manager.

    • Liaise effectively with Reception, Accommodation, Sales, and other departments to ensure guest requirements are communicated and fulfilled.

    • Identify opportunities to upsell rooms, packages, and additional hotel services while ensuring recommendations are appropriate to the guest.

    • Maintain guest confidentiality and handle personal and payment information in accordance with hotel procedures and data protection requirements.

  • Main Administrative Duties

    • To take reservations as efficiently as possible.

    • To allocate rooms as required, ensuring room types and rates are reflected in allocations.

    • To be proficient in the use of HotSoft and other systems utilised by the hotel.

    • To ensure all data captured is accurate and GDPR compliant at all times.

    • To perform ad hoc administrative duties as requested by management.

  • Health and Safety

    • To clearly and promptly communicate any issues to all relevant colleagues.

    • To attend required training, both on site and online.

    • To report any health or safety issues to your direct manager immediately.

    • To ensure fire exits are kept clear at all times.

    • To ensure that corridors are neat and accessible at all times.

    • To use any equipment or chemicals in an appropriate and safe manner.

    • To immediately report any accidents or incidents.

  • Training and Development

    • To attend daily and weekly meetings and communicate professionally and effectively.

    • To attend and/or completed training as required, including online, on site or on the job training.

  • Customer Care

    • To be professional, courteous and positive in all dealings with our guests.

    • To be proactive and remain knowledgeable and up to date on all menu offerings, including daily specials, with a view to highlighting any allergens to guests.

  • Additional Duties

    • To provide support at the Reception Desk when required, assisting with guest arrivals, departures, enquiries, and other front office duties while maintaining the highest standards of customer care.

    • Due to the nature of the business, this job description is neither restrictive or exhaustive, and from time to time, you may be called upon to perform other ad hoc duties as required
