Job summary

Hanley Energy is seeking a Project Management Administrator to support the PMO across EMEA and APAC. You will coordinate project lifecycles, maintain documentation, and act as a central liaison between managers, teams, suppliers, and clients.

A proactive, detail-oriented approach is essential for enabling successful project delivery in a dynamic, innovative company. The role may involve travel for project-related tasks and training, with a 12-month fixed-term contract and potential permanency.

Qualifications

  • Experience supporting project management functions and coordinating multiple projects.

Responsibilities

  • Maintain and update project documentation (schedules, budgets, risk registers, reports).
  • Coordinate and schedule meetings; prepare agendas and minutes.
  • Support in creating and monitoring project plans, scopes, and resources.
  • Act as liaison between internal teams, suppliers, subcontractors and clients.
  • Assist with procurement and invoicing processes related to projects.
  • Monitor progress and provide status updates to stakeholders.
  • Maintain PM tools and ensure data accuracy and accessibility.
  • Escalate issues and support resolution with PMO and teams.
  • Assist in close-out reports and archiving deliverables.

Position Description

As the Project Management Administrator, you will support the project management function by providing administrative and operational assistance across various project lifecycles. You will act as a central point of coordination between project managers, team members, and stakeholders, ensuring efficient and smooth operations. With a proactive and detail-oriented approach, you will play a critical role in enabling the successful delivery of projects across the EMEA and APAC regions.

Responsibilities
  • Maintain and update project documentation, including schedules, budgets, risk registers, progress reports, quality plans, and issue logs.
  • Coordinate and schedule meetings, including kick-off and progress meetings, and prepare agendas and minutes.
  • Support project managers in the creation and monitoring of project plans, scopes of work, and resource allocation.
  • Act as the primary liaison between internal teams, suppliers, subcontractors, and clients for project-related communication.
  • Assist in the preparation and management of procurement and invoicing processes related to projects.
  • Monitor project progress and prepare regular status updates for stakeholders.
  • Maintain project management tools and systems, ensuring data accuracy and availability.
  • Identify and escalation potential issues or conflicts to project managers and assist in resolving them in a timely manner.
  • Facilitate the preparation of project close-out reports, ensuring all deliverables are documented and archived.
  • Contribute to process improvement initiatives within the PMO by providing feedback and implementing best practices.
  • Provide administrative support to the PMO and other departments as needed.
Requirements
  • Relevant previous experience in project administration, coordination, or a similar support role is highly desirable.
  • Familiarity with project management tools and methodologies (e.g., MS Project, Asana, Jira, or similar).
  • Excellent organizational and multitasking skills, with a keen eye for detail.
  • Strong communication skills, both written and verbal, with the ability to build effective working relationships.
  • Proficiency in IT tools, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • A proactive and flexible approach, capable of working independently and within a team.
  • Degree or certification in project management, business administration, or a related field is an advantage.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Willingness to occasionally travel for project-related tasks or training.
Additional Skills (Preferred)
  • Understanding of electrical power systems, control systems, or data center operations.
  • Knowledge of procurement and financial tracking processes.
  • Experience in multinational or cross-regional project environments.
