Qualifications

  • At least 5 years' experience in a PA, secretarial or admin role in a busy or regulated office.
  • Typing skills with audio and copy typing proficiency.
  • Strong MS Office skills (Word, Excel, Outlook, PowerPoint).
  • Excellent organisational and time management abilities under pressure.
  • Professional, discreet and confidential approach with good interpersonal skills.

Responsibilities

  • Provide PA and admin support to a regional office team and manage busy workloads.
  • Act as first contact for queries via phone, email and in person.
  • Manage diaries and schedule meetings, trainings and site visits.
  • Maintain an in-house database, including mail merges and reporting.
  • Prepare correspondence, reports, and presentations to high standards.
  • Assist with recruitment and retention data and membership trends.
  • Maintain filing systems, archiving and general office administration.

Job description

Our client, a public sector organisation, is seeking an experienced and highly organised Personal Assistant PA/Admin Support professional to provide comprehensive administrative and secretarial support to the Assistant Director of Industrial Relations and the wider Industrial Relations Team. This is a busy, office-based position requiring exceptional organisational skills, discretion, and the ability to manage multiple priorities in a fast-paced regional office environment. The successful candidate will play a key role in supporting members and ensuring the smooth day-to-day operation of the department while delivering a high standard of administrative support.

Location: Galway (after 3 months approx opportunity to WFH 2 days per week) Contract: Fixed-term to January 2028, with the possibility of extension/permanency Salary: €34,800 €51,000

Key Responsibilities
  • Providing PA and administrative support to a regional office team, managing busy caseloads and prioritising workloads during peak periods
  • Acting as first point of contact for phone, email and in-person queries, gathering information and directing to the relevant team as needed
  • Managing diaries and scheduling for office staff, coordinating meetings, training sessions and site visits
  • Maintaining and developing an in-house database system, including mail merges, issue tracking and reporting
  • Preparing correspondence, reports, submissions and presentations to a high standard of accuracy
  • Monitoring data and membership trends, supporting recruitment and retention initiatives
  • Maintaining an efficient filing system, both hard and soft copy, including archiving
  • General office administration, including supplies, supplier liaison and health & safety compliance
What You'll Need to Succeed
  • At least 5 year's previous experience in a PA, secretarial or administrative support role, ideally within a busy or regulated office environment
  • Typing skills, both audio and copy typing.
  • Strong proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
  • Excellent organisational and time management skills, with the ability to multitask under pressure
  • Strong communication and interpersonal skills, both internal and external
  • A professional, discreet and confidential approach
  • Ability to use initiative and work well as part of a team
