Spencer Recruitment is recruiting an Office Manager on behalf of our client to support the CFO and manage the day-to-day running of the office.
This is a varied, hands-on role covering office administration, expenses, IT coordination and HR administration. You’ll help keep the office organised, support colleagues and make sure everyday tasks run smoothly.
The role would suit someone who is organised, approachable and proactive, with strong attention to detail and the ability to handle confidential information discreetly.
Key Responsibilities
Office Management
- Oversee the day-to-day running of the office, ensuring an organised and welcoming working environment.
- Manage office supplies, equipment and relationships with suppliers and service providers.
- Coordinate maintenance requests and office facilities issues.
- Organise meetings, meeting rooms and occasional team events.
- Handle general enquiries, correspondence and deliveries.
Support to the CFO
- Provide day-to-day administrative support to the CFO.
- Help process staff expenses, checking receipts and maintaining accurate records.
- Assist with invoice administration and follow up on missing documentation.
- Prepare and update spreadsheets, documents and reports as required.
HR Administration
- Schedule interviews and coordinate communication with candidates and hiring managers.
- Support employee onboarding and off boarding, including paperwork and administrative checklists.
- Help maintain accurate and confidential employee records.
- Coordinate induction arrangements and equipment for new starters.
IT Coordination
- Act as a point of contact for routine IT queries, liaising with external IT support when needed.
- Coordinate equipment orders, setup and repairs.
- Maintain records of company laptops, phones and other equipment.
- Coordinate access requests and equipment returns with authorised colleagues and IT providers.
Skills and Experience
- Previous experience in office administration, office management or a similar support role.
- Strong organisational skills and the ability to prioritise competing tasks.
- Good attention to detail, particularly when handling expenses and records.
- Confidence using Microsoft Office or Google Workspace, including spreadsheets.
- Clear communication skills and a helpful, professional manner.
- Ability to handle sensitive financial and employee information confidentially.
- A practical approach to solving problems and the initiative to follow tasks through.
- Experience supporting finance or HR administration would be an advantage.
