This role would suit an administrator/secretary that would like to work in a law firm or somebody early on in their FE1 journey that is committed to a legal PA role for the time of their study with 6 months of legal assistant experience.
Salary is 35,000 base with benefits such as 25 days holidays, 5% pension, full health cover and hybrid working.
Role Overview
This is an entry-level role suited to someone with previous office experience, ideally within a law firm or professional services environment.
The successful candidate will provide administrative and organisational support to lawyers across a range of disciplines, including Corporate, Real Estate and Dispute Resolution. The role will involve working closely with fee earners, Business Development Managers, Shared Services and the Office Manager, to ensure the smooth and efficient running of the practice.
Key Responsibilities
Client & Administrative Support
- Respond to client queries appropriately and professionally.
- Manage enquiry inboxes and website queries.
- Manage diaries, ensuring they are kept up to date and anticipating requirements.
- Meet and greet clients and ensure meeting rooms are prepared in advance.
- Arrange photocopying, printing, couriers, correspondence, faxes and other administrative requirements.
- Produce and maintain Excel spreadsheets and other records as required.
Document & File Management
- Manage the production of documents and review work returned by the Shared Services team and/or speech recognition systems, checking for accuracy, formatting and completeness before forwarding to the relevant lawyer.
- Manage the opening and closing of files.
- Supervise general filing, record‑keeping and document management requirements.
- Prepare and issue engagement letters, ensuring compliance with firm procedures at all times.
CRM & Business Development
- Maintain the firm's Interaction CRM system, ensuring new prospects, clients and contacts are accurately recorded.
- Ensure activities and business development information are kept up to date within the CRM.
- Work with Business Development Managers to maintain accurate client contact information and review bounced emails, updating or archiving records where appropriate.
- Support fee earners with business development activities, including the preparation of pitches and presentations.
- Assist with the organisation and scheduling of meetings, tenders, directory submissions and internal and client‑facing activities.
- Assist with the organisation of internal and external events, seminars and conferences.
Financial & Billing Support
- Assist with the preparation and completion of complex billing, ensuring bills are accurately prepared.
- Request cheques and bank transfers and process monies received, where appropriate.
- Review and update time allocations and disbursements, ensuring costs are correctly allocated to the relevant matters.
- Manage and process expenses in accordance with firm procedures.
Office & Facilities Support
- Ensure breakout areas, kitchens, stationery points and MFDs are adequately stocked and maintained.
- Order consumables and replenish stock as required, ensuring shared areas remain tidy and well presented.
- Assist with the maintenance and management of meeting rooms and the associated booking system.
- Assist with the supervision of external contractors and the building management team, as requested by the Buildings Team.
- Support building‑related activities as required, including fire warden and first aid responsibilities.
