Windmill Healthcare is recruiting for a HR Administrator for Abbot Close Care Centre, Askeaton, Co. Limerick. The HR Administrator plays a key role in supporting the daily operations of the HR department in a nursing home environment.

You will assist in recruitment, onboarding, employee records, training compliance, and general HR administration, ensuring compliance with Irish employment legislation and HIQA standards. Strong organisational and communication skills are essential.

Qualifications

  • Prior experience in a HR administration role, preferably in a healthcare or regulated environment.
  • Understanding of Irish employment legislation and GDPR.
  • Proficient in Microsoft Office and HR/payroll systems (Epicare, Time Works, Sage).
  • Excellent organisational and communication skills.
  • Discretion and confidentiality are essential.

Responsibilities

  • Recruitment & onboarding: advertise vacancies, shortlist candidates, and schedule interviews.
  • Coordinate onboarding: contracts, reference checks, Garda vetting, uniforms, visa/work permit requirements and induction materials.
  • Setting up new employee details and records (Epicare and Time Works).
  • Maintain accurate employee records in line with GDPR and HIQA standards.
  • Track staff training and mandatory compliance (Manual Handling, Infection Control, Safeguarding).
  • Minute taking during meetings and general HR support.
  • Assist with preparation of HR reports, KPIs, and audits.
  • Assist colleagues as needed and support disciplinary, grievance, and performance processes.

Windmill Healthcare is recruiting for a HR Administrator for Abbot Close Care Centre, Askeaton, Co. Limerick

The HR Administrator plays a key role in supporting the daily operations of the HR department in a nursing home environment. This role ensures the smooth administration of HR processes in line with Irish employment legislation and HIQA (Health Information and Quality Authority) standards. You will assist in areas such as recruitment, onboarding, employee records, training compliance, and general HR administration.

Key Responsibilities:

  • Recruitment & Onboarding:
  • Assist with advertising job vacancies, shortlisting candidates, and scheduling interviews.
  • Coordinate the onboarding process, including contracts, reference checks, Garda vetting, uniforms, visa/work permit requirementsand induction materials.
  • Setting up new employee details and records (Epicare and Time Works)
  • Maintain a positive candidate experience throughout the hiring process.
  • HR Administration:
  • Maintain accurate and up-to-date employee records in line with GDPR and HIQA standards.
  • Track staff training and mandatory compliance (e.g., Manual Handling, Infection Control, Safeguarding). Training is scheduled on roster and appropriate person is contacted for training
  • Minute taking during meeting as necessary
  • Assist colleagues whenever necessary
  • Assist with the preparation of HR reports, KPIs , and audits.
  • Employee Relations:
  • Be a point of contact for general HR queries from staff.
  • Support disciplinary, grievance, and performance management processes by preparing documentation and coordinating meetings.
  • Payroll & Leave Management:
  • Liaise with payroll to ensure accurate submission of hours, leave, and changes to employment.
  • Maintain records for annual leave, sick leave, and other entitlements in line with Irish employment legislation.
  • Policy & Compliance:
  • Support the implementation and communication of HR policies and procedures.
  • Ensure HR practices are compliant with employment law and nursing home regulatory requirements (HIQA, HSE, etc.).

Key Requirements:

  • Prior experience in a HR administration role, preferably in a healthcare or regulated environment.
  • Understanding of Irish employment legislation and GDPR.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and HR/payroll systems (e.g., Thesaurus, Sage, or similar).
  • Excellent organisational and communication skills.
  • Discretion and confidentiality are essential.
  • CIPD membership is an advantage

Must be of the caring nature, sympathetic and supportive

  • Experience working in a nursing home, hospital, or HSE-related setting.
  • Familiarity with HIQA standards and inspections.
  • Knowledge of Safe Recruitment and Garda vetting processes.
