Job summary

Shannon Springs Hotel in Shannon, County Clare, is seeking a full-time night porter to register, greet and assist guests, check the daily arrival list, and respond to guest requests for information about the hotel and surroundings.

You will maintain room status, allocate rooms, handle reservations, operate front office equipment, assist with concierge tasks, and follow fire and emergency procedures to ensure guest safety.

Responsibilities

• Register, process, and greet guests promptly.
• Check the daily arrival list.
• Welcome guests to the hotel.
• Respond to guests' requests for information about the hotel and its surroundings.
• Arrange for special services requested by guests.
• Review reception diary each shift and update for the next shift.
• Coordinate customer services: telephone, business service centre, concierge, housekeeping, reservations, room service, cleaning, food and beverage service.
• Prepare night audit reports as requested.
• Allocate rooms and issue appropriate keys.
• Handle incoming guest room reservations.
• Handle reservations for guests with rental cars, restaurants, etc.
• Be aware of current room status and room availability at all times.
• Promote food and beverage alternatives to increase hotel revenue.
• Complete shift closing with necessary approvals.
• Adhere to hotel cash handling policies.
• Demonstrate teamwork with colleagues.
• Maintain effective key control.
• Know services and facilities of the hotel and assist guests accordingly.
• Control and maintain access to hotel.
• Operate switchboard, telefax, key equipment, credit card machines, printers, hotel alarm systems, and other front office equipment.
• Declare any cash discrepancies to the front office manager.
• Understand and follow hotel's fire and emergency procedures.
• Follow emergency procedures to ensure guest and employee safety.
• Support a safe hotel by following regulations and laws.
• Anticipate hazards and inform Duty Manager and department heads.
• Accept flexible work schedule for uninterrupted service to guests.

SERVICE AND SECURITY TO GUESTS DURING NIGHT

• Is available to register, process, and greet guests promptly
• Checks the daily arrival list
• Welcomes guests to the hotel
• Responds to guests requests for information about the hotel and its surroundings * Arranges for special services requested by guests
• Stays current with developments in the hotel by reviewing the reception diary each shift; updates reception diary for next shift
• Arranges fulfilment of customer services by supplying limited services in the following areas: - Telephone services- Business Service Centre- Concierge- Housekeeping- Reservations- Room Service, Cleaning duties, Food and beverage service.
• Prepares night audit reports as requested
• Allocates rooms and issues appropriate keys
• Handles incoming guest room reservations
• Handles reservations for guests with rental cars, restaurants, etc
• * Is aware, at all times, of current room status and room availability
• Increases hotel revenue by promoting food and beverage alternatives within the hotel
• Completes shift closing accurately by getting appropriate approval signatures and authorisation codes
• Adheres to hotel policies regarding the use of cash banks
• Demonstrates teamwork by co-operating and assisting colleagues as needed
• Keeps effective key control
• Demonstrates a working knowledge of all services and facilities of the hotel, and effectively assists the hotel's guests
• Control and maintain access to hotel
• Is able to operate switchboard, telefax, key equipment, credit card machines and printers, hotel alarm systems, and other Front Office equipment.
• Ensures all discrepancies in own cash are declared to the front office manager/manager on duty
