Job summary

Jobtailor is seeking a detail-oriented Logistics Administrator to support sea freight operations from order creation to delivery, providing customers with proactive updates and accurate shipment records.

You will coordinate with shipping lines, customs and suppliers, maintain KPI-driven processes, and contribute to continuous improvement while delivering excellent customer service.

Qualifications

• Experience in a customer service, administration, or logistics environment.
• Strong organisational skills with ability to manage multiple priorities and meet deadlines.
• Good working knowledge of Microsoft Office, including Excel, Word, and Outlook.
• Excellent communication and relationship-building skills.
• Strong attention to detail and commitment to delivering high levels of customer service.
• Experience in Sea Freight Imports and/or Exports.
• Previous experience in freight forwarding, logistics, or supply chain operations.
• Knowledge of customs processes and international transportation.
• Analytical mindset with the ability to identify and resolve operational issues.

Responsibilities

• Managing sea freight shipments from order creation through to final delivery.
• Providing customers with proactive updates and full visibility of their shipments.
• Responding to customer enquiries promptly and professionally through verbal and written communication.
• Monitoring shipment progress and identifying potential disruptions before they impact customers.
• Coordinating with shipping lines, overseas offices, customs authorities, and transportation providers to ensure smooth cargo movement.
• Managing exceptions and resolving operational issues in a timely and customer-focused manner.
• Ensuring accurate system data entry and maintenance of shipment records.
• Opening and maintaining shipment files in accordance with company procedures and service standards.
• Coordinating customs brokerage requirements and ensuring all documentation is complete and accurate.
• Managing and maintaining In-Transit Reports and shipment tracking information.
• Supporting accurate and timely invoicing and cost control processes.
• Working to established service levels, KPIs, SOPs, and compliance requirements.
• Collaborating with internal departments to deliver the highest levels of customer satisfaction.
• Contributing to continuous improvement initiatives and operational excellence within the team.
