Job summary

UPS Ireland is seeking a Facility Coordinator to safeguard assets, facilities, grounds and equipment at the Dublin site. You will support operations management with maintenance, compliance audits, and coordination of contractors.

The role requires at least 3 years in logistics and proven facility maintenance experience, with strong communication and the ability to plan workloads independently. Collaborative work with Real Estate and safety teams is essential.

Responsibilities

• Inspect entire facility to identify issues and take action.
• Coordinate planned and preventive facility, equipment and security maintenance.
• Respond to urgent facility, equipment and security needs and resolve quickly.
• Point of contact for facility inquiries at assigned sites.
• Coordinate and escort internal and external parties for facility works.
• Monitor safety and calibration standards of warehouse equipment.
• Ensure compliance with Environmental Safety, Facility Safety and Health & Safety.
• Assist audits and follow up with management.
• Advise on and implement continuous process improvements.
• Create RFAs for purchasing and adhere to RFA procedures.
• Cost control and OPEX planning for Facility Maintenance.
• Participate in facility infrastructure change projects.

Job Description

PURPOSE OF THE JOB

The facility coordinator is responsible for the protection of UPS assets, facilities, grounds and equipment. He/she assists the operations management with the facility maintenance and compliance auditing, warehouse equipment maintenance, housekeeping, facility safety and security aspects. The facility coordinator manages as well smaller projects independently and oversees / prioritize the work of contractors. The facility coordinator reports direct to the BaSE Supervisor.

MAIN ACCOUNTABILITIES AND ASSOCIATED ACTIVITIES

Inspect entire facility, in- and outside, to identify issues and independently take action to list and correct these.

Coordinate all planned and preventive facility-, equipment and security systems maintenance- and testing schedulesl.

Respond directly to any urgent facility-, equipment and security systems maintenance needs and resolve these in a short timeframel.

Point of contact for all facility inquiries around the assigned site(s)

Coordinate and escort all internal- as external parties regarding facility works related subjects

Monitoring safety and calibration standards of warehouse equipment and MHE

Ensure compliance with UPS procedures regarding Environmental Safety, Facility Safety and Health & Safety

Prepare, participate in internal and external audits and together with management work on follow up

Advise on and implement continuous process improvements

Control and register services delivered by outside and / or inside providers Create RFAs for purchasing and adhere to RFA procedure

Cost control and business plan of the Facility Maintenance OPEX

Participate in facility infrastructure change projects managed overall by BaSE

Maintain contact with Real estate department and Landlord in case building fixes or enhancements need to be executed.

KNOW-HOW, SKILLS & EXPERIENCE

• Education Level: technical background
• Proven experience in Facility maintenance activities
• Minimum of 3 years' experience in logistics environment
• Strong communication skills
• Ability to plan workload, set priorities and work independently
• Normal MS office skills required
• Works in close harmony with all internal as external stakeholders listed above
• Flexible in time and place including out of hours
• Understanding the logistics compliance policies like safe work methods, security protocols, healthcare logistics regulations (HVAC controls and systems)
• Pragmatic problem solver
