Job summary

The National Treasury Management Agency (NTMA) is seeking a Facilities Coordinator to support a safe, efficient workplace for employees, visitors and contractors. Reporting to the Facilities Manager, you will assist with daily facilities operations, health and safety, contractor liaison and building services.

This is a 12-month fixed-term contract based onsite, with a 7:00am–6:00pm, Monday–Friday shift pattern.

Qualifications

  • Experience in facilities, office administration, property management, or workplace support.
  • Knowledge of workplace health and safety legislation and best practice.
  • Strong customer service skills with the ability to build effective working relationships.
  • Experience coordinating contractors, suppliers, or service providers.
  • Proficiency in Microsoft 365 applications, including Outlook, Word, Excel, Teams, and SharePoint.
  • Excellent organisational skills and the ability to manage multiple priorities effectively.
  • Strong written and verbal communication skills.
  • Ability to work independently, use initiative, and respond effectively to changing priorities.
  • Flexible, proactive, and solutions-focused approach to work.

Responsibilities

  • Carry out daily health and safety inspections and ensure issues are addressed promptly.
  • Support compliance with workplace health and safety, fire safety, and building management procedures.
  • Manage the Facilities inbox and ticketing system, responding to and resolving employee requests in a timely manner.
  • Conduct ergonomic assessments onsite and remotely via Teams.
  • Administer access control systems, including issuing and managing staff and contractor access cards.
  • Support office moves, space planning, desk allocations, and workplace set-up activities.
  • Coordinate meeting room, event, and town hall setups to meet requirements.
  • Manage stationery, consumables, and facilities-related stock levels, including purchasing and invoice management.
  • Support business continuity, emergency preparedness, and incident response procedures.
  • Assist with workplace wellbeing, sustainability, and employee engagement initiatives.
  • Carry out general post room and courier duties.

Summary of the Business

The National Treasury Management Agency (NTMA) provides asset and liability management services to the Irish Government. It has evolved from a single function agency managing the National Debt to a manager of a complex portfolio of public assets and liabilities. Businesses managed by the NTMA include borrowing for the Exchequer and the management of the National Debt, the New Economy and Recovery Authority (NewERA), the National Development Finance Agency, the Ireland Strategic Investment Fund and the State Claims Agency. The NTMA also assigns staff to the Future Ireland Fund, the Strategic Banking Corporation of Ireland and Home Building Finance Ireland.

Role Summary

The Facilities Coordinator plays a key role in supporting the delivery of a safe, efficient, and professional workplace environment for employees, visitors, and contractors. Reporting to the Facilities Manager, the successful candidate will assist with the day-to-day operation of facilities services, workplace health and safety, contractor management, building operations, and employee support services. This is a varied and hands-on role requiring excellent organisational, communication and problem-solving skills, together with a strong customer service focus. The Facilities Coordinator will work closely with colleagues, service providers, and building management teams to ensure high standards are maintained across all workplace facilities and services. This role is being offered on a 12-month fixed-term contract. There may be potential for an extension, subject to business requirements. This role is based on site five days per week. The role operates on a shift basis between 7:00am and 6:00pm Monday to Friday. Flexibility is required to support business needs, office events, maintenance activities, and emergency response requirements.

Principal Accountabilities

This role will involve undertaking administrative tasks as part of a small team, to include.

Desirable Qualification or training
  • Qualification or training in Facilities Management, Health & Safety, Business Administration, or a related discipline.
  • Occupational First Aid, Fire Warden, or Manual Handling certification.
  • Experience using facilities helpdesk or CAFM systems.
  • Experience carrying out ergonomic assessments.

Pension Abatement
