Job summary

JJ Rhatigan & Company is recruiting for a Design Coordinator to lead a large project team, delivering fully coordinated design information. The role works alongside the Project Manager, Design Manager and Quantity Surveyor to ensure compliance, budget, and programme requirements are met on a major construction project.

The DC will manage and mentor the Project Document Controllers, promote continuous improvement, and ensure timely distribution of design documents and meeting minutes.

The DC plays a fundamental part in the successful delivery of the project alongside the Project Manager, Design Manager and Quantity Surveyor – The Project Delivery Team.


About This Role

The role and responsibility of a Design Coordinator (DC) is to manage / lead one large project team to produce Design information which is:



  • Fully coordinated between all Consultants and Contractors.

  • Fully compliant with the Tender Specification & ER’s.

  • Fully compliant with the current legislation and regulation.

  • Within budget and buildable.

  • Delivered on Programme.


Key Duties & Responsibilities


  • The Design Coordinator must be capable of working independently by their own initiative however, they must also have the foresight and ability to decipher if a Design Manager action, input or decision is required.

  • This role of the Design Coordinator will include the management and mentoring of the Project Document Controllers. The DC must promote continual improvement, apply and enforce company procedures and assist the document Controller with their career progression.

  • The Design Controller, in their daily and overall approach to the project must demonstrate determination, drive and dedication. The DC will be in weekly communication with Senior Consultants, Projects Clients and Stakeholders. Drive, Initiative, Control, Negotiation and Communication are essential skills required to master this role.

  • The Design Coordinator must at all times manage the production of Design with Commercial, Contractual, programme/ time awareness and technical expertise. “Is it within budget and is it buildable?” Seek value and investigate options / alternatives at all stages of the design.

  • The Design Coordinator must have an ability to resolve issues quickly. Action, responsibility, Close Out Period. The DC needs to make decisions, most often instantly.

  • The Design Coordinator must strive to eliminate Health & Safety risks not only within the finalized Design but during the construction process. Always consider and evaluate the method of construction during Design.

  • The Design Coordinator will assist the DM with the appointment of the Design Delivery Team (Consultants and Contractors).

  • The Design Coordinator must meticulously review / read the Project Specification, Employers Requirements, Planning Report / Approval, all Drawings and all other design associated tender documentation.

  • It is the DC’s & DM’s responsibility to ensure all consultants/ contractors produce and deliver the required information on programme. This is not an isolated document – it must, at all times be coordinated with the Construction and Procurement programmes. The project team must be notified immediately of any delays or programme issues.


The Design Manager & Design Coordinator must prepare and distribute (as required) the following Design Documents/ Schedules within the first two weeks of a new project. These documents are to be updated fortnightly in advance of the DRM.

  • Planning Condition Tracker

  • Design Risk & Opportunity Schedule

  • Building Warranty Tracker
  • Building Control Tracker

  • Design Fee Schedule

  • Design Team Meeting No. 1 Agenda

  • Design Change Tracker (Change Control)

  • The Design Coordinator will gradually take control of the Design Team Meetings/ Workshops from the Design Manager. A comprehensive and concise set of meeting minutes must be distributed within two days of the meeting clarifying: Action, Responsibility, Close Out Period. The DC must drive production – Manage the Consultants (In particular, the Architect).

  • The Design Coordinator must produce the Design Review Meeting documentation on a fortnightly basis. Progress and Problems will be reviewed, discussed and actioned with the Regional Design Lead/ DM. Actions must be closed ahead of the next Design Review Meeting.

  • The Design Coordinator must ensure that all drawings are thoroughly reviewed and checked. The level of detail must be to the required standard from which the site team can construct – “For Construction” Status drawings need to be firm and final. The drawings must reflect what has been priced at tender stage (ER’s) – a comprehensive “Change Control” tracker is to be maintained throughout all stages of the project.

  • The Design Coordinator is responsible for the Document Control / Management procedure. This will be established by the BIM Manager however it is the responsibility of the DC to ensure all Consultants and Contractors are complying with requirements.

  • The Design Coordinator is responsible for assisting the Document Controller to collate the required documents for BCAR handover to the assigned certifier. This includes compilation of documents for the O&M Manual

  • The Design Coordinator must produce a “Design Close Out Schedule” 2 months before the Design is concluded (this is not a Project PC). Action, Responsibility, Close Out Period. This must include a strategy to close out:

  • Outstanding Design Issues & Elements.

  • Planning Conditions

  • Building Control Conditions

  • Building Warranty Conditions

  • BREEAM Certification

  • O&M Manual and HUG

  • As built drawings

  • Programme Air and Acoustic Tests

  • Sign Off of all samples and technical submittals


Performance Assessment

The Design Coordinators performance will be assessed against the following KPI’s:



  • Communication and Interaction with the Project Team members.

  • Management Process – The efficient delivery of the following key Design stages:

  • Project/ Design Team Set Up

  • Discharge of Pre-Commencement Planning Conditions

  • Stage 4 Design Production/ Approval

  • Coordination of Consultants and Subcontractors

  • External Façade Package Production/ Approval

  • Technical submittal & Sample Approval

  • Remediation Process – The process and timescale of addressing/ resolving Design issues.
