We are looking for a highly organised and detail-oriented Contract Operations Specialist to support the preparation, review and issuance of customer contracts for software products and cloud-based services.
This is a key operational role focused on ensuring that customer contracts and associated documentation are complete, accurate and consistent before being issued to clients.
This is not a legal role – legal drafting, negotiation and interpretation will be managed by the Legal team. The focus of this position is on contract accuracy, quality control and process management.
Key Responsibilities
- Prepare, review and coordinate customer contracts, order forms and associated documentation.
- Perform detailed checks to ensure contracts are accurate and complete prior to being sent to customers.
- Validate key information including customer details, products/services, software licences, subscriptions, quantities, pricing, contract periods and other commercial information.
- Identify errors, inconsistencies or missing information and ensure these are corrected before contracts are issued.
- Ensure the correct templates, approved terms and documentation are being used.
- Confirm that any approved commercial or contractual changes have been accurately reflected in the final documentation.
- Work closely with Sales, Legal, Finance, Deal Desk and other internal teams to resolve discrepancies.
- Ensure appropriate internal approvals have been completed prior to contract issuance.
- Maintain accurate contract records and status information within relevant systems.
- Manage multiple contract requests and deadlines while maintaining a consistently high level of accuracy.
- Support improvements to contracting processes, controls and documentation.
Experience & Skills
- Previous experience in Contract Operations, Deal Desk, Commercial Operations, Sales Operations, Order Management, Contract Administration or a similar role.
- Ideally experience within a software, SaaS, cloud services or technology environment.
- Experience working with customer contracts, order forms, software licensing, subscriptions or similar commercial documentation.
- Exceptional attention to detail and a strong quality-control mindset.
- Strong organisational skills and the ability to manage multiple requests and priorities.
- Good commercial awareness and an understanding of the relationship between customer requirements, products/services, pricing and contractual documentation.
- Good level of technical aptitude, with the ability to understand software products, licensing models, subscriptions and cloud services.
- Strong communication skills and confidence working across Sales, Legal, Finance and other internal teams.
- Experience with CRM, Contract Lifecycle Management (CLM), e-signature or similar systems would be advantageous.
