To support and grow the hotel's commercial performance through accurate sales administration, website and e-commerce management, social media activity, digital campaigns and Meetings & Events coordination. The role helps convert enquiries into confirmed business, strengthen direct revenue and deliver a clear, consistent customer booking journey.
E-commerce, Website & Social Media
Maintain accurate, up-to-date website offers, packages, pricing, inclusions, availability, images, terms and booking links; coordinate changes with Sales & Marketing and Revenue.
Manage hotel social channels and a content calendar; create, schedule and publish relevant posts, stories, reels and promotional content for rooms, dining, weddings, events, leisure and seasonal offers.
Promote approved campaigns, gift vouchers and experiences; respond to or direct digital enquiries promptly and ensure messaging follows brand guidelines.
KPIs: timely and accurate updates; social reach and engagement; website traffic, digital enquiries, booking conversion and direct revenue where measurable.
Sales Administration & Commercial Reporting
Maintain CRM, sales databases and enquiry tracker; log enquiries, outcomes and follow-ups, prepare quotations, proposals, contracts and sales documentation, and follow up outstanding opportunities.
Produce accurate weekly/monthly sales, enquiry, conversion and pipeline reports; maintain confidentiality and comply with GDPR.
KPIs: enquiry response and follow-up times; CRM accuracy; quotation/document turnaround; report completion; enquiry-to-booking conversion and recorded lost-business reasons.
Meetings & Events Coordination
Support the Meetings & Events team with enquiry qualification, tailored proposals, quotations, contracts, confirmations, function details, rooming lists and event documentation.
Communicate requirements to operational departments, liaise with clients before events, support post-event follow-up and identify suitable upselling opportunities.
KPIs: timely proposals and follow-ups; enquiry conversion and confirmed event revenue; accuracy of event details; additional revenue from upgrades and add-ons; client feedback.
Digital Campaigns & Cross-Department Support
Support email and digital campaigns, seasonal promotions, local opportunities and sales collateral; ensure campaigns direct customers to the correct booking or enquiry channel.
Work collaboratively with Revenue, Reservations, Front Office, Food & Beverage, Leisure, Weddings and Group Commercial teams; raise pricing, contractual or expenditure decisions requiring approval.
KPIs: campaign-generated enquiries/bookings and attributable revenue; campaign accuracy and deadlines; effective interdepartmental communication and completion of agreed actions.
Experience in hotel sales, sales administration, reservations, e-commerce, digital marketing or Meetings & Events; hospitality experience is desirable.
Excellent written and verbal communication, customer service and relationship-management skills, with strong organisation and attention to detail.
Confident using Microsoft Office, databases/CRM and digital platforms; website content, booking engines, social media scheduling, analytics and email marketing experience is desirable.
Commercially aware, proactive and adaptable, able to manage competing deadlines, interpret reports and work independently while contributing to a team.
Relevant qualification in Business, Hospitality, Sales, Marketing or Digital Marketing is desirable. Commitment to confidentiality, GDPR and hotel procedures is essential.
This is a commercially focused role combining e-commerce and social media management, sales administration, digital revenue support and Meetings & Events coordination. By keeping online offers accurate, managing enquiries and follow-ups, supporting event sales and tracking results, the Executive will help improve sales efficiency, customer experience and measurable revenue opportunities. The role operates within approved pricing, brand guidelines and procedures; new rates, discounts, significant campaign spend and non-standard commercial terms require management approval.
Role-specific training in hotel systems, CRM and enquiry tracking, website and booking processes, Meetings & Events procedures, commercial reporting, pricing approvals, GDPR and Talbot Collection standards.
Ongoing development of digital sales, e-commerce, reporting and commercial skills, with performance reviews and agreed objectives.

Performance Review & General Responsibilities
Initial KPI baselines should be established during the first 60-90 days, with measurable targets agreed with the Sales & Marketing Manager and Revenue Manager based on enquiry volumes, historical performance, resources and available reporting systems. The Executive is expected to maintain accurate records, attend relevant meetings and training, follow company policies and procedures, protect confidential information, and undertake other reasonable duties consistent with the role.
