Job Title: Business Support Co-ordinator

Reporting To: Chief Executive Officer (CEO)

Department: Office of the CEO / Business Support

Role Purpose

The role provides essential coordination, administration, and delivery support across a portfolio of projects and strategic initiatives. The role is responsible for ensuring projects are well organised, stakeholders are aligned, actions are tracked, and project documentation remains accurate and up to date.

The Business Support Co-ordinator is a central coordination role that keeps the organisation's business operations, actions, and events running smoothly and on track. The role owns the tracking and follow-through of actions and decisions across the business, coordinates events, training, and meetings, and provides organisation and scheduling support to the CEO as one part of a broader business-wide coordination remit.

This position is ideal for someone looking to build a career in project management. It combines strong organisational and relationship management skills with exposure to project planning, governance, reporting, and change & transformation activities across the business.

Key Responsibilities
Business Action Tracking
  • Own and maintain a central action tracker capturing commitments, decisions, and follow-ups arising from leadership, management, and governance meetings across the business.
  • Follow up with action owners to confirm progress and status, and elevate overdue or at-risk items to the relevant manager.
  • Prepare regular action status summaries for leadership and governance forums.
  • Maintain a consistent, auditable record of decisions and their outcomes.
Meetings, Training & Room Co-ordination
  • Co-ordinate the booking of meeting rooms and training rooms across locations, resolving scheduling conflicts and prioritising business-critical needs.
  • Organise logistics for internal meetings, training sessions, and workshops, including room setup, equipment, materials, and catering where required.
  • Maintain a shared calendar/booking system for rooms and shared resources, and act as the main point of contact for booking queries.
  • Prepare agendas and capture actions for key meetings, and circulate minutes and follow-ups in a timely manner.
Events Co-ordination
  • Plan and co-ordinate internal and external events (e.g. staff events, training days, conferences, stakeholder events), managing logistics, suppliers, and budgets.
  • Act as the main organiser for event timelines, venue and supplier liaison, invitations, and on-the-day co-ordination.
  • Evaluate events post-delivery and capture lessons learned to improve future co-ordination.
Support to the CEO's Office
  • Provide organisation and scheduling support for CEO-level meetings, ensuring agendas, papers, and actions are prepared and tracked.
  • Co-ordinate logistics for board and senior leadership meetings in conjunction with relevant stakeholders.
  • Act as a point of co-ordination between the CEO's office and other departments to progress actions and requests.
  • Support the preparation and formatting of business-critical documents, reports, and presentations.
Project & Business Co-ordination
  • Support the planning, co-ordination, and delivery of projects and strategic initiatives across the business, maintaining plans, timelines, and trackers.
  • Monitor progress against agreed deliverables and elevate risks or delays where appropriate.
  • Maintain project and business documentation, logs, and governance records so files are organised, current, and audit-ready.
  • Assist with resource planning, scheduling, and administration across multiple projects and workstreams.
  • Support the co-ordination of Realiser/Playbook and Principles engagement and strategic alignment activity.
  • Identify opportunities to improve business coordination processes, tools, and ways of working.
  • Contribute to the development of templates, trackers, and coordination standards across the business.
  • Support the adoption of consistent coordination and governance practices across teams.
Skills & Experience
  • 1-3 years' experience in a business support, coordination, project support, administration, or operations role.
  • Excellent organisational and time management skills, with the ability to manage multiple priorities and stakeholders simultaneously.
  • Strong attention to detail and a track record of following through on actions to completion.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office, particularly Excel, PowerPoint, Teams, and SharePoint.
  • Confident coordinating logistics (rooms, events, meetings) across multiple locations and stakeholders.
  • Ability to build positive working relationships with stakeholders at all levels, including senior leadership.
  • Experience coordinating events, training programmes, or business meetings at scale.
  • Exposure to project management methodologies and tools.
  • Experience supporting governance, reporting, or change/transformation activity.
  • Relevant qualification in Business, Project Management, Operations, or a related discipline.
