Job summary

TYLER WEIR is seeking a Bid Team Administrator to join the Bids and Proposals Team. This role is suitable for a recent graduate or early-career professional aiming to build a career in bids and business development within a leading professional services environment.

You will provide essential coordination, administrative and logistical support, helping with target research, deadlines, precedents and templates, and producing polished client-ready materials.

Responsibilities

  • Support preparation of tenders, pitches, proposals, and other business development materials.
  • Coordinate bid deadlines, action lists, and submission requirements.
  • Format and proofread bid documents to ensure accuracy and professionalism.
  • Monitor tender portals and support submission of tender responses.
  • Liaise with lawyers, partners, and business services teams for bid activities.
  • Maintain proposal content, credentials, CVs, and experience data.
  • Organise bid files, submission records and templates.
  • Keep content libraries and internal systems up to date.
  • Assist with improving bid processes, templates, and trackers.
  • Prepare reports and updates on bid activity and pipeline opportunities.
  • Develop knowledge of firm's practice areas, clients, and sectors.
  • Build project coordination and bid administration skills within a collaborative team.

Job description

We are recruiting a Bid Team Administrator to join our established and high-performing Bids and Proposals Team. This is an excellent opportunity for a recent graduate, early-career business development / marketing professional, procurement specialist or highly organised individual who is interested in building a career in bids, proposals, and business development within a leading professional services environment.

The Bids and Proposals Team plays a key role in helping the firm win new business by coordinating high-quality, compelling, and compliant bids, tenders, capability statements, and pitch materials. The team works closely with partners, lawyers, and business services teams across the firm to ensure submissions are tailored, accurate, commercially focused and delivered on time.

The successful candidate will provide essential coordination, administrative and logistical support to the Bids and Proposals Team and the wider business development function. They will help the team research targets, track deadlines, manage precedents and templates, maintain records, coordinate information gathering and support the production of polished, client-ready materials.

The role

In this role, you will:

  • Support the preparation of tenders, pitches, proposals, and other business development materials.
  • Assist with coordinating bid deadlines, action lists, and submission requirements.
  • Format, proofread and prepare bid documents to ensure they are accurate and professionally presented.
  • Monitor tender portals and support the management and submission of tender responses.
  • Liaise with lawyers, partners, and business services teams to gather information and support bid activities.
  • Maintain proposal content, credentials, CVs, and experience information.
  • Organise and maintain bid files, submission records, and template materials.
  • Help keep content libraries and internal systems up to date and well organised.
  • Support the development and improvement of bid processes, templates, and trackers.
  • Assist with preparing reports and updates on bid activity and pipeline opportunities.
  • Build knowledge of the firm's practice areas, clients, and sectors through working with colleagues across the business.
  • Develop project coordination, organisation, and bid administration skills within a collaborative team environment.

Experience and qualifications

This role may suit:

  • A recent graduate from a business, marketing, communications or related discipline with strong writing, organisation, and administration skills.
  • A business development, marketing, or administrative professional with one to two years’ experience.
  • A candidate from another professional services, corporate, technology, construction, public procurement, or commercial environment who is interested in developing a career in bids and proposals.

Previous bids experience is helpful but not essential. More important is a willingness to learn, a strong attention to detail, an interest in business development, good judgement, and the ability to collaborate well with multiple stakeholders
