JOB SUMMARY:
As Asset Investment Administrator your main responsibility is to support with all aspects of administration within the Asset Investment Team and to provide support to other teams and regional offices as required.
The following list is typical of the level of duties which the post holder is expected to perform or be responsible for. The post holder will be responsible for a combination of the objectives described below and annual KPIs dependent upon the requirements of the organisation.
KEY SKILLS:
- 1. Methodical and detail-focused approach to checking information, identifying inconsistencies and ensuring records are reliable before they are updated or circulated.
- 2. Ability to analyse varied property, asset and contractual information and draw out clear actions for review by the team.
- 3. Good fault-finding and problem-solving skills, including the ability to investigate gaps, anomalies or conflicting information across documents and systems.
- 4. Confidence working with numerical, technical and administrative information where precision and follow-through are important.
- 5. Ability to manage competing administrative tasks in an organised way while maintaining quality and consistency.
KEY RESPONSIBILITIES (Functional):
- 1. Scanning documents on system.
- 2. Review stock condition surveys and update schedule of issues arising to be addressed and circulate this schedule to relevant colleagues.
- 3. Upload and update information on stock condition, investment programmes, component replacements, contractor performance, etc.
- 4. Maintain accurate property and asset data in systems,
- 6. Review of drawings, leases, ownership titles, cross referencing with contractual documents, for confirming ownership / maintenance responsibility assignment, ESG assets etc and complete schedules for review and updating relevant colleagues and information on systems
- 7. Inputting and extracting data from management system. Knowledge of Microsoft Excel essential.
- 8. Providing general administration support to the Team as required including, but not limited to, postage and file management.
- 9. Sorting and distributing incoming post and organising and sending outgoing post, including mail merges.

- 5. Be pro-active in the development and maintaining of strong networks and relationships with colleagues and in other organisations and agencies, to ensure excellence in service delivery.
