We are looking for a meticulous and structured Senior Payroll Administrator to oversee end-to-end payroll operations for full-time employees, freelancers, and partners. In this role, you will manage HRIS administration (Talenta), ensure compliance with Indonesian labor regulations (BPJS, PPh 21, WLKP, Disnaker), and serve as a reliable liaison between employees, HR, Legal, and Finance teams.
Key Responsibilities
1. Employee Payroll & HRIS Administration (Talenta)
- Execute end-to-end monthly employee payroll accurately and on schedule, including base salary, allowances, overtime, incentives, bonuses, and deductions.
- Manage and regularly update employee master data, organizational structure, salaries, employment statuses, and attendance records in Talenta HRIS.
- Reconcile attendance, leave, time-off, overtimes, and late arrivals in Talenta prior to finalizing payroll.
- Assist employees with Talenta system inquiries and operational issues.
2. Freelancer & Partner Compensation Processing
- Calculate fees, bonuses, and performance-based compensation for freelancers and partners based on rate cards, project deliverables, attendance, or performance reports.
- Audit and verify all supporting documents (Agreements, Confirmation Letters, BAST, Invoices, Timesheets, and Approval workflows) before payment processing.
3. Data Verification, Reconciliation & Reporting
- Perform cross-verification between HRIS data, agreements, invoices, BAST, and internal approvals to eliminate discrepancies.
- Partner with the Finance team for payroll reconciliation, payment processing, and reporting.
- Generate monthly payroll summaries, payment recaps, attendance logs, and labor cost reports.
- Securely archive all payroll records, contracts, invoices, and approval documents for auditing purposes while maintaining strict data confidentiality.
4. Statutory Compliance, BPJS, Tax & Labor Relations
- Administer BPJS Kesehatan and BPJS Ketenagakerjaan registrations, updates, and monthly contributions.
- Prepare accurate data for PPh 21 (Income Tax) calculations in coordination with Tax/Finance.
- Collaborate with the Legal team to fulfill WLKP (Wajib Lapor Ketenagakerjaan) and other labor law compliance requirements.
- Prepare, submit, and track official correspondence, applications, and documentation required by Disnaker(Department of Manpower).
5. Employee & Vendor Support
- Serve as the primary point of contact for inquiries regarding payslips, tax withholdings, BPJS, leave balances, and fee schedules.
- Investigate and resolve payment discrepancies in collaboration with HR, Finance, and Operations teams.
- Prepare, issue, renew, and track employment contracts (PKWT, PKWTT, Freelance/Mitra Agreements, NDAs, and Addendums) by completing employee-specific details based on templates and drafts provided by Legal, in coordination with Legal and HR.
- Monitor contract expiration dates and coordinate timely probation evaluations, contract renewals or non-renewals with the relevant stakeholders.
- Handle onboarding and offboarding HR documentation, including welcome kits, employee IDs, resignation letters, clearance forms, exit interviews, and other related employment documents.
Qualifications & Requirements
- Education: Bachelor’s Degree in Finance, Accounting, Human Resources, Business Administration, or related fields.
- Experience: 2–4 years of proven experience as a Payroll Specialist, HR Operations, or HR Generalist with strong payroll focus.
- Tool Proficiency: Advanced expertise in Mekari Talenta HRIS and Microsoft Excel (VLOOKUP, XLOOKUP, Pivot Tables, Complex Formulas).
- Compliance Knowledge: In-depth knowledge of Indonesian labor laws, BPJS Kesehatan/Ketenagakerjaan, PPh 21, WLKP, and Disnaker procedures.
- Soft Skills: High numerical accuracy, sharp analytical skills, strong organizational abilities, and absolute discretion when handling sensitive salary data.
