Job summary

YCAB Foundation in Semarang seeks a proactive Project Administrator to lead end‑to‑end participant lifecycle for the Youth Ultra Micro Entrepreneurs program. You will drive socialization, screening, data capture, and grant disbursement coordination with YCAB Ventures and MFIs, ensuring milestones are tracked and donor reporting remains accurate.

Qualifications

• Bachelor’s Degree in social sciences, management, economics or other relevant fields.
• Minimum 3 years of work experience in youth, entrepreneurship, and/or MSMEs.
• Experience in mentoring or entrepreneurship training activities for women and/or youth.

Responsibilities

• Support Project Lead in preparing and updating workplans, trackers, timelines, participant databases, and progress monitoring.
• Conduct program socialization and manage participant application process, including data collection and profiling.
• Verify completeness of participant and business data during screening.
• Coordinate communication with participants, trainers, MFIs, YCAB Ventures, vendors and stakeholders.
• Coordinate implementation of basic business & financial literacy training, including scheduling, venues, trainers, and materials.
• Maintain participant database ensuring data is complete and up-to-date.
• Assist grant disbursement administration with agreements and growth plans.
• Follow up with participants during mentoring to ensure attendance and progress.
• Monitor loan and repayment status with YCAB Ventures and MFIs.
• Verify participant data to determine eligibility for subsequent grants and incentives.
• Coordinate needs assessments and advanced training for participants.
• Monitor performance including growth milestones and marketing activation.
• Prepare supporting documents for reporting and conduct donor reporting.
• Draft activity and progress reports for Project Lead review.
• Ensure evidence aligns with donor reporting.
