Asuransi Astra mencari Sekretaris Direktur untuk mendukung kelancaran aktivitas harian Direktur di kantor South Jakarta. Tugas utama meliputi penjadwalan rapat, persiapan fasilitas kantor, serta menjaga hubungan dengan pihak internal maupun eksternal.

Posisi ini bersifat on-site di Jakarta Selatan dengan fokus pada administrasi, perjalanan dinas, pengelolaan dokumen, serta pemrosesan klaim, termasuk asuransi kesehatan dan keperluan kantor.

Qualifications

• Gelar Diploma/D3 minimum.
• Kritis terhadap detail pekerjaan.
• Rencana kerja yang terstruktur dan jelas.
• Kemampuan analitis yang baik dengan penilaian yang tepat.

Responsibilities

• Mendukung Direktur dalam penjadwalan rapat dengan internal maupun eksternal.
• Mempersiapkan kebutuhan Direktur, termasuk fasilitas kantor, perlengkapan, dan logistik.
• Membangun hubungan dengan pihak terkait melalui ucapan selamat, kartu, dan souvenir.
• Mengawasi administrasi perjalanan dinas, akomodasi, transportasi, dan dokumen terkait.
• Mengelola dokumen, tanda tangan, cap perusahaan, dan korespondensi.

DESKRIPSI PEKERJAAN

Secretary main responsibilities :

• Supporting Director in Charge on scheduling their meetings with internal or external parties, including location, meals, meeting tools and transportation.
• Preparing Director in Charge needs, such as ensuring the comfort of the workplace, an adequate office stationary, and etc.
• Supporting Director in Charge establishing good relationships with both, internal and external parties, in forms of sending wreaths or bouquet, greeting cards, souvenir, and etc.
• Accompany Legal and Learning Management department, in monitoring Director in Charge needs, and make sure the training implementation was on point.
• Managing administrations such as :
• Checking the documents that will be signed by Director in Charge, in accordance with applicable regulations.
• Processing business trip administrations, such as:
• Accomodation and any other necessary documents
• Transportation
• Itinerary
• Passport and VISA
• On Duty Request and Declaration
• Processing Director in Charge claim request and declarations such as health insurance, membership and entertain.
• Managing stationary procurement, printing, and Director in Charge Secretariat routine needs.
• Managing files and mailing activities such as signature request, company stamp, and any other attributes.

To support the smoothness of our Director in Charge operational activities.

KUALIFIKASI MINIMUM

Qualifications for Director in Charge Secretary are:

• Possess at least Diploma degree
• Strong attention to detail
• Excellent planning and interpersonal skills
• Solid analytical abilities with sound judgment
• Decision-making capability
