Job summary

Lv8 Resort Hotel in Bali seeks a Purchasing Supervisor to manage procurement for all hotel departments. You will negotiate with vendors, control costs, and ensure accurate procurement using the VHP system. You will lead the purchasing team and maintain vendor performance records to support operational efficiency.

The role requires 2–3 years in hotel purchasing, a diploma or bachelor’s degree, and willingness to be based in Bali. Strong coordination with Finance & Accounting is essential.

Qualifications

• Ability to work independently or in a team; Bali-based willingness.

Responsibilities

Role Objectives:

The Purchasing Supervisor is responsible for managing and supervising all purchasing activities under the Finance & Accounting Department to ensure cost efficiency, compliance, and timely procurement of goods and services. This role supports hotel operations through strong vendor negotiation, accurate system-based purchasing, and effective supervision of the purchasing team.

Requirements:

Minimum Diploma or Bachelor’s Degree, preferably in Hospitality Management, Business Administration, or a related field.

Minimum 2–3 years of experience as a Purchasing Supervisor or in a similar role within the hotel or hospitality industry.

Strong negotiation skills with proven experience dealing with vendors and suppliers.

Experienced in managing and maintaining a well-organized vendor database.

Mandatory proficiency in VHP (Visual Hotel Program) for purchasing and inventory processes.

Solid understanding of hotel purchasing procedures, inventory control, and cost control.

Strong analytical skills in pricing and market comparison.

Good communication and coordination skills across departments.

Able to work independently as well as in a team environment.

Willing to be based in Bali

Responsibilities

Supervise and manage the procurement of goods and services for all hotel departments.

Conduct price negotiations, contract discussions, and payment term agreements with vendors and suppliers.

Develop, maintain, and regularly update a structured vendor database, including approved vendor lists, price lists, contracts, and vendor performance records.

Ensure all purchasing transactions are accurately processed and recorded using the VHP system.

Evaluate vendor performance based on quality, pricing, delivery timelines, and service standards.

Coordinate closely with Finance, Store, and User Departments to ensure compliance with budget and internal controls.

Lead, supervise, and provide guidance to Purchasing Staff, ensuring tasks are completed accurately and on time.

Ensure all purchasing activities follow hotel SOPs and company policies.

Monitor and control Purchase Requests (PR), Purchase Orders (PO), and all supporting documentation.

Prepare and submit regular purchasing reports to management.
