PT Central Global in Batam, Indonesia is seeking an Administrative Coordinator to support an EPC project with documentation, scheduling, and CAD work. You will handle drawing revisions, submittals, MOMs, and client communications, coordinating with subcontractors to gather quotes and progress updates.
The role requires an engineering or drafting background, strong Excel skills, and fluency in English and Indonesian to ensure timely, accurate project administration.
This role provides administrative coordination and drafting support for an EPC project, managing documentation, scheduling, and CAD work across multiple stakeholders including the Project Manager, client, and subcontractors.
Key responsibilities
Maintain and organize project documentation: contracts, submittals, RFIs (Requests for Information), transmittals, meeting minutes, and correspondence.
Coordinate scheduling of meetings, site visits, and inspections between PTCG, and subcontractors.
Track action items from meetings and follow up to ensure deadlines are met.
Prepare and distribute progress reports, minutes of meeting (MOM), and status updates to the Project Manager and client.
Maintain a document control log (drawing revisions, submittal status, approval status) so nothing gets lost or outdated.
Assist with preparing payment claim documentation and tracking milestone completion against the contract schedule.
Coordinate with subcontractors (HVAC, MEP, civil) to collect their quotations, scope confirmations, and progress updates, and relay this information clearly to the Project Manager.
Support permit and compliance documentation tracking (e.g., BP Batam submissions, PBG/SLF, SLO applications) — filing, follow-up, and status tracking rather than technical preparation.
Prepare, update, and revise CAD drawings (AutoCAD) based on instructions from the Project Manager, engineers, or subcontractor input — layout plans, shop drawings, as-built markups.
Translate/adapt subcontractor drawings (e.g., HVAC/MEP layouts) into PTCG's drawing standards and formats.
About you
Diploma or degree in Civil/Architectural Engineering, Drafting, Business Administration, or related field.
Proficiency in AutoCAD (2D drafting minimum; 3D is a plus).
Strong command of Microsoft Office (Excel, Word, Outlook) — especially Excel for tracking logs.
Good written and spoken Englishand Bahasa Indonesia (for subcontractor/site coordination).
Strong organizational skills and attention to detail — this role is document-heavy.
Ability to work under deadline pressure typical of an EPC project nearing completion milestones.
