Job summary

PT Asian Trails Indonesia in Bali seeks a Leisure Travel Group Specialist to manage MICE and leisure group enquiries from first contact through final execution.

You will prepare proposals, tailor itineraries, and costings for complex projects, coordinating with hotels, venues, and transport providers across Indonesia.

Qualifications

• Bachelor's degree in Hospitality, Tourism or a related field.
• Minimum 3 years in DMC, inbound tourism or MICE.
• Proven experience in handling MICE projects and events.
• Strong knowledge of international inbound tourism and group travel operations.
• Excellent command of English; other languages are a plus.

Responsibilities

• Manage MICE and leisure group enquiries from initial request through to execution.
• Prepare proposals, tailor-made itineraries, and costings.
• Handle complex and high-value MICE projects, including incentive trips and conferences.
• Serve as the main contact for international clients and overseas partners.
• Coordinate reservations and logistics with hotels, venues and transport providers.
• Monitor budgets and timelines to ensure profitability and efficiency.
• Maintain accurate records in the operating system and ensure data integrity.
• Negotiate rates with hotels and suppliers to maximize profitability.
• Follow up on invoicing and payments with clients and vendors.
• Research and develop new hotels, venues, and partnerships to expand offerings.
• Attend site inspections and supervise on-site event execution when required.
• Work with Operations, Finance, and other departments to ensure seamless delivery.
• Build strong relationships with clients, suppliers, and colleagues.

Job description

Manage MICE and leisure group enquiries from initial request through to execution.

Prepare proposals, tailor-made itineraries, and costings based on client requirements.

Handle complex and high-value MICE projects, including incentive trips, conferences, corporate events, and leisure group movements.

Serve as the main point of contact for international clients and overseas travel partners.

Coordinate reservations and logistics with hotels, venues, transportation providers, and other suppliers throughout Indonesia.

Ensure all services are delivered accurately, efficiently, and on schedule.

Monitor project budgets and timelines to maintain operational efficiency and profitability.

Maintain accurate records and ensure all booking information is updated in the company's operating system.

Negotiate competitive rates with hotels, venues, and suppliers to maximize profitability.

Follow up on client invoicing, payment collection, and vendor payments to ensure timely processing.

Research and develop new hotels, venues, activities, and supplier partnerships to expand product offerings and enhance competitiveness.

Attend site inspections and supervise on-site event execution when required.

Work closely with Operations, Finance and Accounting, and other internal departments to ensure seamless project delivery.

Build and maintain strong, professional relationships with clients, suppliers, and colleagues.

Support the Direct Manager in achieving departmental objectives and continuously improving operational processes.

Qualifications

Bachelor’s degree in Hospitality, Tourism, Event Management, or a related field.

Minimum 3 years of experience in a DMC, inbound tourism, or MICE environment.

Proven experience in handling MICE projects, incentive travel, conferences, corporate events, and leisure group operations.

Strong understanding of international inbound tourism and group travel operations.

Excellent command of English, both written and spoken, is essential. Additional foreign language skills will be considered an advantage.

Solid experience in negotiating and coordinating with hotels, venues, transportation providers, and other tourism suppliers.

Familiarity with destination management systems or similar reservation software is an advantage.

Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.

Strong organizational and project management skills with the ability to handle multiple assignments simultaneously.

Able to work under pressure, meet tight deadlines, and adapt to changing client requirements.

Willing to travel and supervise events on-site when required.

Proactive, detail-oriented, customer-focused, and solution-driven.

A positive attitude, strong sense of ownership, and a \"Can Do\" mindset with creative thinking are highly valued.
