PT PHC Indonesia seeks a Material Control & EXIM Senior Staff to coordinate warehouse, inventory, import-export, and customs operations. This role ensures accurate stock data, smooth material flow, timely shipments, and compliance with company procedures and applicable regulations.
The position requires 3–4 years in warehouse/EXIM, familiarity with CEISA 4.0, HS codes, and ERP/WMS systems, plus strong English communication and leadership to guide junior staff.
We are looking for a Material Control & EXIM Senior Staff to support and coordinate warehouse, inventory, import-export, and customs operations. This role will ensure accurate inventory, smooth material flow, timely shipment execution, and compliance with company procedures and applicable customs regulations.
Warehouse & Inventory Management
Coordinate daily warehouse activities, including receiving, put-away, storage, picking, kitting, line feeding, packing, dispatch, returns, and nonconforming material handling.
Ensure material availability and timely delivery to production based on production schedules.
Monitor inventory accuracy through cycle counting, stock taking, inventory reconciliation, and discrepancy investigation.
Ensure proper implementation of FIFO/FEFO, lot/batch control, expiry monitoring, material identification, and traceability.
Monitor warehouse layout, storage capacity, material handling equipment, 5S/6S, safety, and housekeeping standards.
Control slow-moving, obsolete, expired, damaged, and nonconforming materials in coordination with relevant departments.
Monitor warehouse KPIs and support continuous improvement initiatives to improve material flow, reduce lead time, minimize waste, and optimize manpower utilization.
EXIM & Customs
Coordinate import and export shipments with suppliers, customers, freight forwarders, customs brokers, and internal stakeholders.
Review the completeness and accuracy of commercial and shipping documents, including invoices, packing lists, Bills of Lading, Air Waybills, Certificates of Origin, shipping instructions, permits, and supporting documents.
Prepare and coordinate customs documentation and submissions through CEISA 4.0 and applicable customs platforms.
Verify customs-related information, including product description, quantity, unit of measure, value, country of origin, HS Code, customs procedure, and required permits.
Ensure compliance with bonded-zone procedures, customs facilities, import-export regulations, and document retention requirements.
Monitor shipment schedules, customs clearance progress, documentation deadlines, and potential shipment risks.
Support customs audits, internal audits, customs reconciliation, and stock reconciliation.
Escalate customs, documentation, HS Code, permit, shipment delay, and compliance issues when necessary.
Support monitoring of import-related costs, including duties, taxes, freight, and handling costs.
Coordination & Reporting
Coordinate with Purchasing, PPC/Planning, Production, Quality, Finance, Engineering, IT, and external logistics providers.
Support daily operational meetings and follow up on material shortages, shipment status, urgent requirements, stock discrepancies, and operational issues.
Ensure compliance with SOPs, work instructions, quality requirements, safety rules, and company policies.
Prepare daily, weekly, and monthly operational reports for management.
Support and guide junior team members in daily warehouse and EXIM activities.
Bachelor's Degree (S1) in Supply Chain Management, Logistics, International Business, Management, Industrial Engineering, Transportation, Business Administration, or related fields.
Minimum 3-4 years of experience in warehouse, logistics, material control, inventory control, EXIM, customs, or supply chain operations, preferably in a manufacturing environment.
Experience in export-oriented, bonded-zone, electronics, automotive, medical device, pharmaceutical, or other regulated manufacturing industries is highly preferred.
Experience handling warehouse and inventory operations, including receiving, storage, picking, kitting, line supply, shipping, stock taking, and inventory reconciliation.
Good understanding of inventory control, including FIFO/FEFO, lot/batch traceability, expiry control, cycle counting, stock adjustment, and obsolete-material management.
Good understanding of Indonesian import-export processes, customs procedures, and bonded-zone requirements.
Familiarity with CEISA 4.0 and relevant customs/BC documents is strongly preferred.
Knowledge of HS Code classification, Incoterms, import duties/taxes, and Certificate of Origin is an advantage.
Experience using ERP, WMS, or inventory management systems such as SAP, IFS, Oracle, or similar systems.
Proficient in Microsoft Excel, including PivotTables, lookup formulas, filtering, reporting, and basic data analysis.
Good command of English, both written and spoken, for coordination with overseas suppliers, freight forwarders, and customers.
Strong coordination, communication, analytical, problem-solving, and organizational skills.
Detail-oriented, disciplined, proactive, and able to work under pressure in a fast-paced manufacturing environment.
Leadership or supervisory experience is an advantage.
