Save the Children International is seeking a Field Office Supply Chain Officer for Sumba to support end-to-end supply chain functions, including procurement, warehousing, fleet and asset management, and office operations to ensure timely delivery of program activities.

Based in Sumba, the role works with program, finance, and national supply chain teams to maintain compliant systems, handle documentation, and coordinate emergency logistics as needed.

Qualifications

• Diploma/Bachelor's degree in Logistics or related field, or 2 years of NGO procurement experience.
• Strong understanding of procurement and logistics processes.
• Able to manage multiple priorities and deadlines.
• Proficient in MS Office (Word, Excel, Outlook).
• Willingness to travel within Sumba region and to emergency sites.
• Based in Sumba or willing to relocate to Sumba.

Responsibilities

ROLE PURPOSE

The Field Office Supply Chain Officer - Sumba is responsible for supporting the end-to-end supply chain and logistics functions in the Sumba Field Office. This includes procurement of goods and services (program and non-program), warehousing and inventory, fleet and asset management, and overall operational support. This role ensures compliance with organization policies, donor requirements, and local regulations, enabling timely and efficient delivery of goods and services to program activities.

The Officer will work closely with the program, finance, supply chain operations, and others national supply chain team to maintain effective systems that support humanitarian and development programming in Sumba.

KEY AREA OF ACCOUNTABILITY

Procurement

• Support timely procurement of goods and services for both programmatic and operational needs in accordance with organization procurement policies.
• Maintain and monitor local procurement plans and trackers.
• Support competitive bidding, quotation analysis, and documentation for PR/PO processes.
• Coordinate with national supply chain team for strategic purchases and framework agreements.

Warehouse And Inventory

• Manage and maintain the field office's warehouse space (if applicable), ensuring compliance with organization standards for storage, handling, and reporting.
• Coordinate with national supply chain team for emergency supply storage and mobilization planning.
• Ensure stock records and warehouse reports are maintained and reconciled monthly.

Asset And Fleet Management

• Maintain accurate records of all field office assets, ensuring timely tagging, tracking, and condition reporting.
• Conduct periodic physical checks and support asset disposal or reallocation when needed.
• Manage field vehicle scheduling, fuel usage, and movement logs.
• Ensure vehicle maintenance is timely and aligned with safety standards

Office Operational Support

• Ensure timely payment of utility bills, services, and rentals as required in coordination with finance.
• Maintain sufficient inventory of office supplies, stationery, and consumables.
• Support field office safety, cleanliness, and maintenance coordination.

Compliance And Documentation

• Ensure all procurement and logistics transactions are documented, filed, and archived properly.
• Support audit preparation and participate in compliance checks as needed.
• Implement and monitor fraud prevention and reporting protocols.

Essential

QUALIFICATIONS AND EXPERIENCES

• Diploma/Bachelor's degree in Logistics, Supply Chain Management, Business Administration or equivalent; or minimum 2 years of relevant experience in procurement, logistics, or supply chain, preferably in NGO or development settings.
• Strong understanding of procurement and logistics processes.
• Able to manage multiple priorities and deadlines.
• Proficient in MS Office (Word, Excel, Outlook).
• Able to travel within the Sumba region and to emergency sites when required.
• Must be currently based in Sumba or willing to be based in Sumba.

Desirable

• Experience working in remote/field office settings.
• Experience using procurement or asset management software.
