We are looking for a highly organized, proactive, and resourceful Executive Assistant to support the Board of Directors in managing schedules, meetings, communications, events, and day-to-day priorities. This role requires someone who can anticipate needs, manage multiple priorities, and ensure tasks are followed through to completion in a fast-paced environment.
Key Responsibilities
- Manage and organize the Board of Directors' schedules, meetings, business trips, and key events.
- Prepare reports, presentations, meeting materials, and briefing notes to support decision-making.
- Conduct research and prepare relevant background information for meetings and engagements.
- Record meeting minutes and follow up on action items to ensure timely execution.
- Act as a liaison between the Board of Directors, internal teams, external partners, and other stakeholders.
- Manage emails, messages, and correspondence, prioritizing important matters when necessary.
- Coordinate travel arrangements, including itineraries, transportation, and accommodation.
- Support the Board of Directors during meetings, events, and business trips.
- Welcome and assist VIP guests, diplomats, sponsors, delegates, and international partners professionally.
- Support event-related activities and adapt to changing priorities when required.
- Handle confidential company and executive information with discretion.
Requirements
- Bachelor's degree in any field.
- Minimum 1 year of experience in Personal Assistant, Executive Assistant, or a related role.
- Strong English communication skills, both written and spoken.
- Highly organized, proactive, resourceful, and able to manage multiple tasks effectively.
- Digital savvy and comfortable using Google Workspace and productivity tools.
- Comfortable working in a fast-paced environment and adapting to changing priorities.
- Willing to travel when required.
- Familiarity with MUN is a plus.
